Overview

The Events Services Manager is responsible for the successful planning, coordination, and execution of group events, meetings, conferences, weddings, and special events at The Keys Collection hotels. Serving as the primary liaison between clients and hotel departments following contract execution, this role ensures a seamless experience from the planning stage through event completion while maximizing guest satisfaction, operational efficiency, and revenue opportunities.

The ideal candidate is highly organized, guest-focused, and experienced in hospitality event management, with the ability to coordinate multiple events simultaneously while maintaining exceptional service standards.

Responsibilities

Fundamental Requirements:

- Serve as the primary contact for clients after contracts are finalized by the Sales team.

- Conduct planning meetings, site visits, and pre-conference meetings with group organizers.

- Develop and distribute detailed Banquet Event Orders (BEOs), group resumes, and event specifications.

- Coordinate all aspects of meetings, conferences, weddings, social events, and group activities.

- Ensure all client requirements and expectations are clearly communicated and executed.

- Respond promptly to client inquiries and requests throughout the planning process.

- Act as the liaison between clients and hotel departments, including:

Food & Beverage, Banquets, Culinary, Front Office, Housekeeping, and Engineering

- Lead weekly and daily event meetings to communicate group requirements.

- Monitor event execution to ensure adherence to hotel standards and client expectations.

- Conduct event walkthroughs and final reviews with operational teams.

- Identify and maximize opportunities for additional revenue through:

Catering enhancements, group activities, room upgrades, specialty event offerings

- Monitor event budgets and ensure accurate billing.

- Review event charges and coordinate with Accounting to ensure timely and accurate invoicing.

- Track event profitability and contribute to overall departmental revenue goals.

- Deliver exceptional service that reflects The Keys Collection brand.

- Proactively address client concerns and resolve issues quickly and professionally.

- Ensure all events are executed with attention to detail and a memorable guest experience.

- Maintain strong relationships with repeat clients and referral partners.

- Maintain accurate event records within the property's sales and catering system.

- Follow up on all turnovers within 24 hours via telephone and within 3 days with written correspondence

- Know all meeting room and event space setups and capabilities

- Know all sleeping room configurations and types

- Manage existing accounts and follow up with client re-solicitations to capture repeat business

- Be visible on the floor and assist staff as needed during functions

- Plan and execute holiday and special events in conjunction with the Director of Sales & Marketing

- Participate in required M.O.D. program as scheduled.

Qualifications

Education & Experience:

- Bachelor's degree in Hospitality Management, Event Management, Business Administration, or related field preferred.

- Minimum of 2-3 years of conference services, catering, event management, or group sales coordination experience.

- Resort or full-service hotel experience preferred.

- Experience coordinating meetings, conferences, weddings, and social events.

- Experience with Microsoft Office, Delphi, Opera Cloud preferred

Physical requirements:

- Ability to work evenings, weekends and holidays as business levels require

- Ability to stand and walk for extended periods during events

- Medium work Exerting up to 50 pounds of force occasionally, and/or 20 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

- Attend all hotel required meetings and trainings.

- Participate in M.O.D. coverage as required.

- Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.

- Maintain high standards of personal appearance and grooming, which include wearing nametags.

- Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.

- Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.

- Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.

- Must be able to understand and evaluate complex information, data, etc. from various sources to meet appropriate objectives.

- Must be able to maintain confidentiality of information.

- Perform other duties as requested by management.
