Position Description

EIP is seeking a Distributor Outreach Representative based in Portland to support a midstream energy efficiency program for Energy Trust of Oregon. The representative will recruit and manage participating distributors, train their sales and counter staff, and help them offer eligible high-efficiency equipment with program incentives at the point of sale. This position supports multiple equipment categories and distributor channels.

The role combines relationship development with practical program delivery. The representative will help distributors understand eligible products and customer requirements, promote participation, collect and review sales and incentive documentation, resolve issues, and track results. The representative will also coordinate with internal program staff on quality checks, reimbursement, reporting, and improvements to the distributor experience.

The ideal candidate is comfortable visiting distributors, building trust with sales teams, explaining program rules clearly, and following each opportunity through from initial enrollment to documented sales and payment. Experience with a particular product category can be learned; strong distributor engagement, organization, and customer service are central to the role.

Objectives of this Role

- Distributor Recruitment: Expand and maintain a productive network of distributors that can bring eligible efficient equipment to customers.

- Program Adoption: Help distributor staff understand the incentive offer and integrate it into normal quoting, sales, and customer service practices.

- Relationship Management: Build sustained distributor engagement through responsive support, training, and regular follow-up.

- Accurate Claims: Support complete and timely sales documentation, customer validation, and incentive reimbursement.

- Sales and Market Insight: Track participation and equipment sales, identify barriers, and share feedback that can improve program performance.

- Quality and Customer Experience: Help verify eligible sales and installations while making participation straightforward for distributors and customers.

Daily and Monthly Responsibilities

- Recruit Distributors: Identify prospects, explain the program’s value, conduct outreach and presentations, and support enrollment of qualified distributors.

- Manage Distributor Accounts: Maintain regular contact with participating distributors, understand their sales processes, respond to questions, and develop plans to increase participation.

- Train Sales Teams: Deliver kickoff and refresher training on eligible equipment, incentive levels, customer qualifications, point-of-sale discounts, claims, and required records.

- Promote Eligible Products: Help distributors communicate program offers through counter staff, inside and outside sales teams, trade events, customer materials, and appropriate promotions.

- Guide Transactions: Assist distributors with customer eligibility, product selection under program rules, sales documentation, and submission steps without replacing their sales role.

- Review Sales Documentation: Collect and check invoices, product details, sales records, customer information, and other required proof for completeness and consistency; request corrections promptly.

- Resolve Participation Issues: Investigate claim deficiencies, delayed payments, product eligibility questions, and process barriers with distributors and program staff.

- Support Quality Checks: Coordinate documentation reviews and, when assigned, site visits or installation verification for incentivized equipment; document findings and follow-up.

- Track Activity and Results: Maintain accurate distributor contacts, training, outreach, sales, claims, and follow-up in CRM and program systems; monitor performance against goals.

- Coordinate Program Delivery: Work with operations, technical, marketing, and payment teams to address distributor needs and ensure consistent program information.

- Report and Improve: Prepare regular activity and performance updates, identify market trends and participation gaps, and recommend practical changes to outreach and processes.

Required Qualifications

- Education: Bachelor’s degree in business, marketing, communications, environmental studies, or a related field, or equivalent relevant experience.

- Experience: At least three years of experience in distributor relations, account management, channel sales, outside sales, business development, or another client-facing role.

- Relationship Management: Demonstrated ability to recruit and maintain business relationships, engage sales personnel, and follow through on partner commitments.

- Communication and Training: Clear written and verbal communication and ability to explain program requirements and deliver practical training to distributor staff.

- Organization and Detail: Ability to manage multiple accounts and activities while accurately reviewing sales information, resolving discrepancies, and meeting deadlines.

- Customer Service: A responsive, solution-oriented approach to distributor and customer questions and participation barriers.

- Technology: Proficiency with Microsoft Office, especially Excel, and experience using CRM or other systems to track relationships and transactions.

- Travel: Ability to travel regularly to distributors, events, and selected customer or installation sites throughout the assigned Oregon territory.

Preferred Qualifications

- Midstream Programs: Experience with utility or Energy Trust energy efficiency programs, point-of-sale discounts, rebate claims, or distributor reimbursement.

- Distributor Channels: Experience working with wholesale distributors, manufacturer representatives, contractors, or equipment suppliers.

- Food Service Equipment: Familiarity with commercial kitchen, refrigeration, or other food service equipment and the distributors that sell it.

- Agricultural Equipment: Familiarity with agricultural equipment, irrigation, or related products and the suppliers that serve Oregon agricultural customers.

- Other Efficient Equipment: Knowledge of HVAC, water heating, lighting, controls, or other eligible high-efficiency product categories.

- Quality Assurance: Experience reviewing proof of sale or installation, conducting site visits, or supporting program quality control.

- Oregon Market: Established relationships with Oregon distributors, trade associations, or commercial and agricultural market participants.
