Overview
IST Management is seeking an Entry Level Part Time Office Services Associate to join the Miami team! The Entry Level Part Time Office Services Associate will be responsible for providing copy, print, and other administrative support services on-site daily in a professional environment. Ideal candidates will have an understanding of mail services, possess an excellent customer service mindset, are willing to train, and are ready to grow in their professional office services career!

Hourly Compensation: $16.00-$16.00 USD
Schedule: This is an on-call position, specifically aimed to help cover for staff members who may be out of the office. The hours will be approximately 8:00 AM to 5:00 PM or 9:00 AM to 6:00PM (They vary based on site), and flexibility in daily work schedule for potential overtime hours required. Excellent opportunity if you have open availability and are looking to make a little extra money!
Responsibilities
The Entry level Part Time Office Services Associate will be responsible for providing daily Corporate mailroom, copy/print, and other administrative support services on-site in a professional environment, to include:
- Copy/print services:
- Prepare and organize all materials required for copy, scanning and faxing
- Copy, scan and fax high volume of paperwork in designated files securing any and all important documents.
- Enter paperwork into an electronic system either by data entry or by using multifunction devices such as copiers/scanners.
- Determine the correct copy and scanning settings to ensure quality of each document.
- Sort and file documents electronically.
- Mailroom Services:
- Processing, sorting and distributing incoming mail to employees in a corporate setting.
- Logging incoming mail into an internal system as required.
- Delivering mail and packages from one department or individual to another within an office.
- Maintaining shipping and mailing supplies, such as envelopes, boxes, tape, and stamps, and keep an inventory of these supplies.
- Handling all outgoing packages, ensuring proper labeling, and arranging pickup from the post office, UPS, FedEx, or other carriers.
- Ability to comfortably move/carry file boxes.
- Additional services:
- Ability to prepare and setup conference rooms for meetings.
- Ability to replace the receptionist for short period of times such as lunch or short breaks.
- Ability to work independently, and also in a team setting; Follow policies and confidentiality dictations to safeguard data and information; Demonstrating strong communication, organizational, and customer service skills
- Other tasks as assigned to support client and site needs
Qualifications
- High school diploma or equivalent (GED), Authorization to work in the US, willingness to submit to required pre-employment drug screen
- Computer knowledge of Adobe and Microsoft Office preferred
- Customer service-related experience preferred; Professional appearance and demeanor.
- Keyboarding and windows environment PC skills; Excellent communication skills both verbal and written.
- Ability to effectively work individually or in a team environment; Competency in performing multiple functional tasks.
- A valid driver’s license and reliable transportation to and from work.
- Ability to lift 55lbs, ability to walk/stand for extended periods of time; Willingness to cross-train for other job functions
