Job Title: Recruiting Coordinator Job Description
The Recruiting Coordinator manages end-to-end interview scheduling and candidate logistics to ensure a smooth, professional, and high-touch hiring experience. This role partners closely with hiring teams to coordinate complex interview loops, optimize recruiting operations, and serve as a subject-matter expert on applicant tracking systems and interview logistics.
Responsibilities
- Own end-to-end scheduling for complex, multi-stage interview loops, including phone screens, technical interviews, panels, and debriefs across multiple hiring teams, primarily using Greenhouse.
- Act as the primary point of contact for candidates throughout the interview process, providing a professional, timely, and high-touch experience.
- Partner with hiring managers and interviewers to confirm availability, manage last-minute changes, and resolve scheduling conflicts quickly and effectively.
- Build and maintain interview plans, scorecards, and scheduling templates in Greenhouse to reduce manual work and minimize scheduling errors.
- Coordinate candidate travel, lodging, and expense reimbursement for onsite interviews.
- Track scheduling metrics such as time-to-schedule, interviewer load, and no-show rates, and proactively flag process bottlenecks to recruiting leadership.
- Train, mentor, and provide day-to-day guidance to junior recruiting coordinators to support their development and ensure consistent processes.
- Serve as the teams subject-matter expert on Greenhouse configuration and interview logistics best practices.
- Support offer logistics and background check coordination in partnership with recruiters and HR.
- Identify and implement process improvements to scale recruiting operations as the organization grows.
Essential Skills
- 3+ years of experience in recruiting coordination or recruiting operations, ideally supporting high-volume or technical hiring.
- Proven experience scheduling complex, multi-part interview loops for both onsite and virtual interviews.
- Hands-on experience using an applicant tracking system (ATS) to manage interviews and candidate workflows.
- Direct experience with Greenhouse or Ashby is strongly preferred.
- background in recruiting and talent acquisition, with a strong understanding of recruiting processes and candidate management.
- Ability to manage multiple stakeholders and competing priorities while maintaining accuracy and attention to detail.
- Strong communication and interpersonal skills to deliver a high-touch candidate experience and collaborate effectively with hiring teams.
Additional Skills & Qualifications
- Bachelors degree.
- 35 years of recruiting coordinator experience supporting diverse hiring teams.
- Advanced proficiency with ATS platforms, with Greenhouse experience considered a plus.
- Ability to analyze scheduling metrics and identify process bottlenecks and areas for improvement.
- Experience mentoring or providing guidance to junior team members in a recruiting or operations function.
- Strong organizational skills and the ability to build and maintain structured interview plans, scorecards, and scheduling templates.
Work Environment
This position is based onsite in El Segundo. The role operates in a collaborative office environment, working closely with recruiters, hiring managers, and interviewers to support ongoing hiring needs. You will frequently use technology tools such as Greenhouse or other ATS platforms to manage interviews, track metrics, and maintain structured processes, while supporting both onsite and virtual interview logistics.

This is a Permanent position based out of El Segundo, CA.
Pay and Benefits
The pay range for this position is $70000.00 - $110000.00/yr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. 3+ years of recruiting coordination or recruiting operations experience, ideally supporting high-volume or technical hiring
Hands-on experience scheduling complex, multi-part interview loops (onsite and virtual) in an ATS; direct experience with Greenhouse or Ashby strongly preferred
