About this role

We are looking for a highly organised and proactive Architectural Materials & Resource Coordinator to support our Knowledge Management function and contribute to the efficient sharing of information across the practice. The ideal candidate will have a strong interest in architecture, materials, product research and information management, coupled with excellent organisational and communication skills. Comfortable working with both digital systems and people, they will play an important role in maintaining valuable knowledge resources, supporting project teams and helping to curate an inspiring and accessible architectural materials library.

The Architectural Materials & Resource Coordinator provides day-to-day support to the firm's Knowledge Management function, helping to maintain, organise and develop its knowledge resources, digital content and physical sample library.

The role focuses on the practical coordination of information and resources: capturing and uploading content, maintaining libraries and collections, applying established information structures, assisting staff with finding resources, coordinating supplier information and supporting the curation of the Sample Library.

Working under the direction of the Head of Knowledge Management, the role requires a highly organised, digitally competent and proactive individual who is comfortable working with both information systems and people.

### Requirements
Knowledge Resources & Content

- Maintain and organise digital knowledge resources, libraries and repositories.
- Upload, classify and update project information, research and reference materials.
- Apply established naming conventions, metadata and filing structures.
- Support the ongoing development and curation of knowledge resources.
Sample Library & Materials Resources

- Manage and maintain the firm's Sample Library and materials collection.
- Catalogue, label and organise product samples and technical literature.
- Maintain links between physical samples and digital product information.
- Assist staff with locating materials, product information and supplier resources.
- Coordinate sample requests, returns and periodic library reviews.
Supplier Coordination

- Act as a key contact for suppliers and product representatives.
- Coordinate supplier visits, product presentations and sample deliveries.
- Gather and maintain product, material and technical information.
- Identify and share relevant new products and resources with project teams.
Research & Staff Support

- Source product, material and reference information in response to staff requests.
- Conduct preliminary research and liaise with suppliers where required.
- Assist staff in accessing knowledge resources, samples and information.
- Escalate technical queries to the Head of Knowledge Management where appropriate.
Administration & Coordination

- Maintain records, trackers and registers relating to resources, suppliers and content.
- Coordinate meetings, supplier engagements and knowledge-related activities.
- Provide administrative support to the Head of Knowledge Management.

Experience & Qualifications

- 3 years' experience in a coordination, administration, information management, architecture, interior design or related support role.
- Relevant qualifications in Architecture, Interior Design, Built Environment, Information Management, Library Science, Business Administration or a related field advantageous.
- Experience with product suppliers, materials libraries or professional services environments is beneficial.
Technical Skills

- Strong digital literacy and proficiency in Microsoft 365.
- Experience managing digital documents, databases, libraries or structured information.
- Familiarity with SharePoint, Microsoft Lists, Teams or similar platforms advantageous.
- Practical knowledge of architectural materials and products is advantageous.
