We are currently looking for a Senior Manager, Administrative Services to join our team
Job Description
Role Summary
The Senior Manager, Administrative Services, leads and coordinates administrative operations across Keel Infrastructure's three office locations, with potential for additional sites in the future. This role sets consistent standards for front-of-house, executive support, and office operations functions, and manages the Office Managers, Executive Assistants, and Receptionists who deliver them day to day. The Senior Manager, Administrative Services, is accountable for service quality, staffing, and operational consistency across sites, and acts as the primary escalation point for administrative issues that cross location boundaries.
Key Responsibilities
Team Leadership & Coverage
• Day-to-day management and coaching of Office Managers, Executive Assistants, and Receptionists across all three locations, including workload distribution and coverage planning
• Conduct regular check-ins and performance reviews for direct reports
• Own scheduling and coverage continuity across locations, including backup planning for absences, leave, and turnover
Standards & Operations
• Set and maintain consistent administrative standards, procedures, and service levels across all sites, adapting for local requirements where needed
• Standardize front desk procedures, executive support protocols, and visitor and mail handling company-wide
• Assist with space planning, office moves, supply and vendor management, and budget for administrative functions
Escalation & Cross-Location Coordination
• Serve as the escalation point for administrative issues — facilities, vendor, scheduling, or staffing — that individual site staff cannot resolve independently
• Coordinate cross-location logistics for company events, executive visits, and all-hands meetings
• Monitor and report on administrative team performance and operational metrics; ensure compliance with company policy and applicable workplace regulations
Qualifications
Required
• 5+ years of progressive administrative, office management, or operations experience, including at least 2 years in a supervisory or team-lead capacity
• Demonstrated ability to build and enforce consistent processes across distributed teams, with strong organizational, prioritization, and problem-solving skills
• Clear, confident written and verbal communication; comfortable working with senior leadership and external vendors
Preferred
• Experience managing or coordinating teams across multiple physical locations
• Bachelor’s degree, or equivalent combination of education and relevant experience; proficient with standard office and scheduling software (e.g., Microsoft 365 or Google Workspace)
In addition to the below stated base salary range, this role includes a yearly bonus and a yearly equity grant.
