Job Description

The Executive Assistant, E3, reports to executive leaders at the Vice President level and is critical in supporting senior leadership administrative functions over large departments or functional areas. This position requires exceptional organizational skills, attention to detail, and the ability to manage a wide range of tasks with discretion and professionalism. The Executive Assistant serves as the primary point of contact for internal and external stakeholders and must exercise a high level of confidentiality and diplomacy as a representative of the university.

Supporting the VP of University Technology & the VP of Student Experience

You see problems three steps before they land, keep complex calendars running like clockwork, and handle sensitive matters with total poise. At WGU, you’ll bring that talent to two of the university’s most forward-thinking teams, where new ideas move from whiteboard to reality fast and every day looks a little different.

You’ll partner with the Vice President of University Technology and the Vice President of Student Experience, two leaders whose decisions shape how every WGU student learns, connects, and succeeds. It’s rare access to the strategy behind a university of this scale, and the chance to see your work ripple out to students across the country.

What You’ll Own

- Two executive calendars. Orchestrate scheduling, meetings, and priorities for both VPs, anticipating what each engagement needs so your leaders always walk in prepared.

- The front door. Serve as the trusted liaison to university leadership, faculty, staff, students, and external partners, representing WGU with polish and diplomacy.

- Meetings and events that deliver. Plan meetings, conferences, and special events; build agendas, capture minutes, and drive action items to done.

- Communications with impact. Manage incoming and outgoing communications and draft correspondence, reports, presentations, and speeches with precision.

- Seamless travel. Arrange domestic and international travel end to end, from flights and itineraries to policy-compliant expense reports.

- Budget and expenses. Help monitor office budgets, track financial transactions, and own expense reporting for corporate cards and leadership spend.

- Strategic projects. Research, pull data, and surface trends that help your VPs make smart, fast decisions.

- Smooth operations. Keep files, confidential information, and day-to-day office operations organized and running without a hitch.

What You Bring

- Associate’s degree and 4 years of related experience. Equivalent experience may substitute for the degree (generally 1 year of experience per 1 year of education, at the hiring manager’s discretion).

- Unshakable discretion and maturity with confidential information.

- Exceptional organization, attention to detail, and follow-through across competing, deadline-driven priorities.

- Strong written and verbal communication, with the confidence to run with minimal supervision.

- Comfort working with data and analytics to spot trends.

- Proficiency in Microsoft Office Suite.

- Flexibility to work extended hours when priorities call for it.

Minimum Qualifications
- Associate's Degree
- 4 years of related experience
- Equivalent relevant experience performing the essential functions of this job may substitute for education degree requirements. Generally, equivalent relevant experience is defined as 1 year of experience for 1 year of education and is the discretion of the hiring manager.

Travel: This position requires occasional travel of up to 10%, including required attendance at designated company summits (typically one to two per year). Additional travel may include conferences, visits to company locations, and other business-related events as needed. Additional travel may be assigned as needed to support business requirements.

Position & Application Details
