Position Summary
The Change Management Specialist leads change planning, stakeholder engagement, communications, training readiness, adoption, and sustainment for a business transformation. This role partners with project leaders, business stakeholders, people managers, and associates to prepare teams for new processes, systems, roles, and ways of working, while helping reduce resistance and drive successful adoption.
Detailed Role Responsibilities
Change Strategy, Planning, and Readiness
- Develop and manage the change strategy, roadmap, and workplan for the business transformation / ERP Cloud implementation, using ADKAR as a practical framework to guide adoption planning and align activities to project milestones, business outcomes, and impacted stakeholder groups.
- Assess stakeholder impacts, readiness, resistance risks, role changes, process changes, and capability gaps; use ADKAR insights to identify where support is needed and translate findings into practical change actions.
- Drive business readiness activities, including readiness assessments, sponsor alignment, manager preparation, change champion engagement, UAT readiness, cutover readiness, go-live preparation, and hypercare transition to support Awareness, Desire, and adoption readiness.
- Track readiness, adoption, resistance, support themes, and sustainment risks across ADKAR milestones; escalate barriers with clear recommendations and follow-up actions.
Communications, Engagement, and Stakeholder Alignment
- Create and execute audience-specific communication plans, messages, FAQs, leadership updates, presentations, and reinforcement communications that build Awareness, Desire, and sustained alignment.
- Partner with project leaders, Global Process Owners, functional teams, SMEs, people managers, and business representatives to ensure messages are accurate, timely, and aligned to business impacts and project decisions.
- Plan and facilitate engagement activities, including workshops, demos, feedback sessions, surveys, office hours, and change champion meetings to strengthen stakeholder commitment and prepare teams for adoption.
- Capture stakeholder feedback, questions, and concerns; identify themes and partner with project teams to resolve issues and improve adoption readiness.
Training, Adoption, and User Enablement
- Lead the training and user enablement plan, including needs analysis, role mapping, learner groups, schedules, attendance tracking, training logistics, and feedback review to support Knowledge and Ability.
- Coordinate user enablement materials, including job aids, quick reference guides, process documentation, role-based learning content, FAQs, and support resources that help users apply new processes and systems effectively.
- Enable super users, change champions, people managers, and leaders with coaching materials, talking points, readiness guidance, practice sessions, and adoption support tools.
- Monitor training completion, user readiness, adoption feedback, and post-go-live support themes; coordinate refresher training and targeted support to reinforce adoption and close gaps.
Project Coordination, Documentation, and Continuous Improvement
- Maintain core change deliverables, including stakeholder maps, impact assessments, communication plans, training plans, readiness trackers, ADKAR/adoption metrics, resistance logs, and lessons learned.
- Integrate change activities with the project plan by managing timelines, dependencies, risks, actions, and deliverables with project managers and workstream leads.
- Prepare concise change status updates for governance and leadership, including progress, risks, readiness themes, adoption trends, and support needs.
- Identify opportunities to improve change effectiveness, simplify adoption, strengthen the user experience, and reinforce new ways of working after implementation.

Qualifications
- Post-secondary education in business, human resources, communications, organizational development, information systems, or a related field, or equivalent work experience.
- Demonstrated experience leading change management activities for business transformation, ERP, technology, process, or operating model initiatives.
- Experience with ERP Cloud implementations, digital transformation, business process change, or large-scale system adoption is strongly preferred.
- Strong organizational skills with the ability to manage multiple tasks, deadlines, stakeholders, and project deliverables.
- Strong communication skills with the ability to translate complex project, process, and system changes into clear, actionable messages for varied audiences.
- Proficiency with Microsoft Office applications; experience with collaboration, learning, survey, or project management tools is an asset.
- Ability to work effectively with cross-functional teams and build positive working relationships with business and technical stakeholders.
- PROSCI Certification in Change Management is an asset.
