Job Description & Responsibilities
The Office & Payroll Coordinator reports to the Director of Finance & Administration and is responsible for supporting both the payroll and benefits functions of the company and the day-to-day administrative needs of the team. Approximately 50% of this role is focused on payroll, benefits and employee administration, while the remaining 50% provides general administrative support across the organization. This position is best suited for someone who enjoys variety, is highly organized and detail-oriented, and is comfortable moving between payroll responsibilities, employee support and general office needs throughout the day.
Payroll, Benefits & Employee Administration — Approximately 50%
- Process payroll accurately and on time, including wages, commissions, bonuses, deductions and other payroll changes.
- Maintain accurate and confidential employee, payroll and benefit records.
- Coordinate employee benefits, enrollment changes, deductions and communication with benefit providers.
- Support employee onboarding and offboarding, including required paperwork and employee records.
- Serve as a resource for team members regarding payroll, benefits, paid time off and company policies.
- Assist with workers’ compensation, unemployment, insurance, safety/OSHA documentation and other compliance-related responsibilities.
- Monitor payroll and employment requirements and help ensure company processes remain compliant with federal, state and local regulations.
- Assist with recruiting administration, job postings, interview scheduling and other employee-related needs.
- Support company insurance administration and communication with insurance providers.
Administrative Support — Approximately 50%
- Coordinate meetings and scheduling for team members and clients.
- Provide administrative support and assistance to team members as needed.
- Assist in answering and directing incoming phone calls.
- Prepare, review and maintain spreadsheets using Microsoft Excel.
- Assist with company mailings, correspondence and general office organization.
- Coordinate and publish internal company communications and newsletters.
- Assist with employee recognition, birthdays, anniversaries and company events.
- Provide project and administrative support to the Director of Finance & Administration.
- Perform additional administrative tasks and special projects as needed.

Requirements
- 3+ years of payroll, benefits administration or related experience, including hands-on payroll processing.
- Working knowledge of payroll practices and federal, state and local payroll requirements.
- Strong organizational skills and the ability to manage multiple responsibilities and deadlines.
- Strong attention to detail and commitment to accuracy.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Proficiency with Microsoft Office, including Excel.
- Experience with payroll or HRIS software; Paylocity experience is preferred.
- Ability to work independently, identify needs and follow tasks through to completion.
- Comfortable working in a role that combines payroll and benefits responsibilities with general administrative support.
