Position Summary: The Senior Development Coordinator provides administrative, coordination, reporting, and operational support to the Development leadership team. Supporting five Vice Presidents, this role is responsible for ensuring the smooth execution of key administrative processes, stakeholder engagement activities, data management, reporting, and leadership support functions.
This position serves as a central resource for the Development team, helping leaders stay organized, informed, and focused on fundraising, relationship management, volunteer engagement, and strategic priorities.

- Manage calendars, scheduling requests, meeting logistics, and coordination for multiple Vice Presidents.
- Coordinate internal and external meetings, including scheduling, agenda development, material preparation, and follow-up communication.
- Prepare presentations, reports, spreadsheets, meeting materials, and other supporting documents using Microsoft Office and Canva.
- Maintain accurate constituent and engagement data within Virtuous, including contact records, activity updates, notes, and moves management entries.
- Create, maintain, and distribute team dashboards, reports, and other recurring performance metrics.
- Support Vice Presidents in tracking fundraising activity, volunteer engagement, and relationship management information.
- Coordinate administrative support for Trustees and Strategic Council members, including meeting scheduling, logistics, materials, and communications.
- Process expenses, invoices, and reimbursement requests in a timely and accurate manner.
- Track vendor contracts, payment schedules, and other administrative obligations to ensure timely completion.
- Monitor deadlines, action items, and follow-up commitments to support accountability and execution across the Development leadership team.
- Assist with process documentation and identify opportunities to improve efficiency and consistency within administrative workflows.
- Complete other administrative tasks or projects as assigned.
- Provide back-up support and/or additional assistance to internal Executive Assistants as requested.
- Provide back-up support for the main Foundation phone line, ensuring caller satisfaction by providing assistance and accurate information.
Essential Requirements
- Minimum of 3 years of experience in administrative support, project coordination, development support, or related nonprofit operations.
- Demonstrated experience supporting multiple leaders, teams, or stakeholders with competing priorities.
- Strong proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
- Experience working with a constituent relationship management (CRM) system; Virtuous experience preferred.
- Ability to prepare reports, dashboards, presentations, and other business documents with accuracy and professionalism.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize work independently and manage multiple projects simultaneously.
- Demonstrated initiative, follow-through, and responsiveness.
- Ability to handle confidential information with discretion and professionalism.
- Strong customer service orientation and relationship-building skills.
- Ability to work effectively both independently and as part of a collaborative team.
- Experience with invoice processing, expense management, or contract administration preferred.
- Experience with Canva or similar presentation and design platforms preferred.
Position Specifics
- Location: Chicago, IL or the Washington, DC/Columbia, MD area preferred
- Work Environment: Work from Home office
- Tools & support: Company-provided HP or Mac laptop, monitor, printer, and a $120 monthly technology stipend
- Compensation: Budgeted starting salary range: $60,000- 70,000/yr, Compensation will be based on the skills, experience, and qualifications a candidate brings to the role, while considering internal equity and geographic market factors. Additional 3% annual incentive bonus eligibility. This role is classified as non-exempt and is overtime eligible.
- Schedule: Full‑time, Monday–Friday, with flexibility; occasional evenings and weekends may be required for meetings and events
