This is a position for IML Containers Ohio
The HR Assistant provides administrative and operational support including recruitment, onboarding, employee records, payroll, benefits, attendance, training, and employee activities. This position helps ensure HR information is accurate, confidential, organized, and processed in a timely manner while providing professional support to employees and management.
Essential Duties and Responsibilities:
HR Administration & Employee Records
- Provide administrative support for the daily activities of the Human Resources department, including but not limited to prepare and update employee letters, forms, reports, status changes, policies, procedures, and other HR documentation.
- Maintain accurate and confidential electronic and physical employee files, payroll, disciplinary action, benefit and medical records, and other sensitive information and escalate sensitive or complex matters to Management.
- Enter and maintain employee information in HR, payroll, benefits, timekeeping, and other applicable systems.
- Provide professional and courteous assistance to employees and managers regarding routine HR questions, policies, attendance, time off, payroll, benefits, and available HR resources.
- Prepare HR reports, statistics, employee lists, communications, and other administrative documents
Recruitment, Onboarding & Offboarding
- Support the recruitment process, including job postings, resume/application screening, candidate communication, interview coordination, background checks, drug screenings, and pre-employment documentation.
- Coordinate onboarding and new-hire orientation, ensuring required documents are completed and employees are properly entered into applicable HR systems.
- Coordinate employee status changes and offboarding, including transfers, pay changes, terminations, system updates, benefit notifications, and required documentation.
- Maintain organized recruitment and employment records in accordance with company procedures.
Payroll & Timekeeping Support
- Assist with biweekly payroll reviewing timecards for missing punches, incorrect hours, overtime, shift premiums, attendance bonuses, PTO, and other discrepancies.
- Follow up with employees and supervisors regarding corrections and approvals before payroll deadlines.
- Verify payroll information, including hours, overtime, bonuses, premiums, deductions, reimbursements, PTO, pay-rate changes, taxes, and direct-deposit information.
- Assist with final paychecks, retroactive payments, corrections, payroll adjustments, and payroll report reconciliation as needed.
- Respond to routine employee questions regarding paychecks, deductions, direct deposits, tax forms, attendance, PTO, and the payroll/employee portal.
- Maintain payroll and attendance records and assist with audits, unemployment claims, workers' compensation documentation, leave records, and year-end activities, including W-2 preparation and distribution
Benefits Administration
- Assist employees with benefit eligibility, enrollment, and general plan questions.
- Support new-hire enrollment, annual open enrollment, qualifying life events, and benefit terminations.
- Enter and update benefit elections and review payroll deductions for enrollment or deduction discrepancies.
- Coordinate routine questions and corrections with employees, benefit carriers, brokers, and administrators.
- Maintain confidential benefit records and distribute benefit materials, notices, and communications.
- Refer coverage decisions, claims, medical questions, or complex plan matters to the appropriate carrier, administrator, or HR Management.
Training, Employee Activities & General Support
- Assist with training coordination, skills development, employee communications, and maintenance of required training records.
- Support occupational health and safety activities, workplace injury documentation, workers' compensation administration, and other HR initiatives as assigned.
- Organize and support employee celebrations and activities, including birthdays, holidays, work anniversaries, and employee appreciation events.
- Handle authorized petty cash for visitor and employee expenses, employee expense reports, receipts, and supporting documentation.
- Support visitors, company activities, HR projects, and continuous improvement initiatives.
- Perform other administrative and HR-related duties as assigned by Management.
Food Safety & FSMS Responsibilities
- Follow applicable company food safety, hygiene, GMP, and safety requirements when entering production, warehouse, or controlled areas.
- Support employee food safety training and maintain applicable training and competency records.
- Follow applicable FSSC 22000 and Food Safety Management System (FSMS) procedures related to the position.
- Immediately report any observed food safety hazard, deviation, or FSMS concern to the appropriate personnel and support the company's food safety culture.
Work Schedule: 07:00 AM - 03:30 PM

Requirements:
- Strong organizational skills, attention to detail, and ability to prioritize multiple tasks and deadlines.
- Strong written and verbal communication and professional interpersonal skills.
- Ability to handle confidential and sensitive employee information with discretion.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to learn and use HRIS, payroll, timekeeping, recruiting, and benefit systems.
- Ability to work independently while recognizing when matters should be escalated to Management.
- Must be authorized to work in the USA – we participate in E-Verify.
- Must pass a drug and background screening according to the company's policy.
Educations and/or Experience:
- High school diploma or equivalent required.
- Associate degree, college coursework, or certification in Human Resources, Business Administration, or a related field is preferred.
- 2 years of previous administrative, Human Resources, recruiting, payroll, or office experience is preferred.
- Manufacturing experience is an asset.
- Experience with HRIS/payroll systems, including BambooHR and Agile/Synerion, is an asset.
- Bilingual skills are an asset but not required.
Environment:
- Work is primarily performed in an office environment within a manufacturing facility.
- The employee may occasionally enter production or warehouse areas and must follow applicable safety, PPE, hygiene, and food safety requirements.
- Regular interaction with employees, managers, candidates, vendors, visitors, and outside service providers.
- Dress code consists of clean, appropriate attire suitable for a workplace environment. Closed shoes preferred. High heels/open shoes are not permitted when entering production floor.
