Sr. Administrative Officer
The University of Miami/UHealth department of Dermatology has an exciting opportunity for a Full Time Sr. Administrative Officer to work in Miami, FL. The Sr. Administrative Officer, Dr. Phillp Frost, Department of Dermatology & Cutaneous Surgery (“Dermatology”) serves as the administrative leader and senior management advisor to the Chair(s) and or other senior leadership within the organization. The Sr. Administrative Officer generates, manages, and interprets strategic information; provides financial management and accountability for all Department resources; and provides administrative infrastructure to ensure organizational and department goals are achieved and faculty and staff thrive.
Core Responsibilities
- Develops, obtains approval for, and directs short and long-term strategic business plans for the Department, while actively serving as the senior financial and administrative manager.
Prepares business analyses, funding plans, and develops proposals; implements plans for new programs; and designs and executes changes to existing programs. Ensures successful completion of these plans and programs.
Oversees day-to-day operational activities, programmatic strategy, and policy development in direct partnership with the Chair and senior leadership.
- Serves as the primary administrative liaison for department programs across affiliate sites, divisions, and interdepartmental entities.
- Manages all financial planning, budgeting, accounting, and resource allocation across operating, capital, grant, and gift accounts.
- Oversees the administrative management of clinical operations, including charge capture analysis, reimbursement monitoring, billing practices, and contract negotiations.
- Manages research facilities, physical space, equipment, and support resources to drive continued strategic growth.
- Oversees departmental human resources practices to ensure full compliance with University, Health System, and legal standards.
- Partners with Human Resources to resolve employee relations issues and guide leadership on personnel actions, hiring, promotions, and performance management.
- Ensures internal control oversight and compliance with laws and regulations, safeguarding of assets, compliance with University policies and procedures, reliability of internal and external reporting, and efficiency and effectiveness of operations. Creates an effective control environment, conducts risk assessment, implements and monitors controls.
Department Specific Functions
Strategic Leadership, Planning, and Department Growth
- Oversee all cross-functional departmental strategic planning and operations, including clinical, research, education, alumni relations, and philanthropy initiatives in support of departmental sustainability and growth.
- Responsible for the direction and management of strategic planning, fiscal planning, facilities planning, management accounting, budget and audit management, inventory control management, space management, general administration, and assisting or acting on behalf of the Chair in dealing with faculty as well as various business and administrative offices of the University of Miami.
- Manage business development opportunities and transactions. Improve existing processes and identify, evaluate, and recommend to the Chair new areas with growth or development potential. Work with the Chair on cultivating future partnerships and acquisitions and provide strategic management and organizational support.
Financial Management, Fiscal Controls, and Operational Performance
- Responsible for annual fiscal management. Develop and implement internal fiscal and managerial controls to ensure accountability. Provide regular analysis of departmental budgets, budget allocation, revenue forecasts, future trends, and potential impact on operations.
- Improve operational efficiency by monitoring collections and revenue margins for physician productivity. Formulate training and incentive plans while maintaining efficient clinical and research activity.
Clinical Operations
- Direct supervision of clinical programs and services, including the department’s Dermatopathology services. Review, evaluate, and make suggestions for improved business and financial operations.
- Coordinate with affiliated hospitals on interrelated administrative matters concerning personnel staffing, space utilization, marketing, advertising, patient relations, capital equipment, scheduling, and patient records.
External Relations, Partnerships, and Contract Management
- Represent the Department in its contact with private and public organizations and institutions.
- Negotiate contracts and review obligations to ensure consistency with departmental budget goals, programmatic initiatives, and University standards.
Education, Research Administration, Human Resources, and Faculty Affairs
- Direct supervision of the department’s educational programs, including the residency program, the Master of Science in Skin Biology and Dermatological Sciences program, the Graduate Education Specialty Training Observership program, and the J1 scholar fellowship program.
- Direct supervision of the department’s administrative research activities, including all pre- and post-award functions.
- Direct supervision of all Human Resources, Credentialing, and Faculty Affairs matters.

CORE QUALIFICATIONS
- Bachelor’s degree in relevant field required
- Master’s degree in business administration, Health Care Administration, Public Health, or a related field or equivalent preferred.
- Minimum 7 years of relevant experience required
