DESCRIPTION
The Executive Assistant reports directly into the VP of Operations, and will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
MAIN DUTIES AND RESPONSIBILITIES
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
- Manage senior executives travel logistics and activities, including accommodations, transportation, and meals.
- Organize and prepare for meetings, including gathering documents, reports, presentations, and handling meeting logistics.
- Oversee office operations, including facilities requests, ordering supplies, managing office equipment, and space management.
- Review, assess, manage, and respond to correspondence; monitor and follow up on action items, correspondence, and meetings.
- Conduct research as needed to support senior executives and organizational initiatives.
- Gather and analyze information required for administrative reporting.
- Coordinate and assist with company events and meetings, both internal and off-site.
- Organize team communications and plan events, both internal and off-site.
- Perform other administrative tasks as assigned.
- Maintain professionalism and strict confidentiality with all materials.

QUALIFICATIONS
- Bachelors degree is required (Degree in Business Administration, Management, Communication, or Healthcare Administration is strongly preferred).
- 4 or more years of experience in an administrative role reporting directly to executive senior
- Excellent written and verbal communication skills.
- Exceptional time management and organizational skills are required.
- Must have experience coordinating multiple concurrent projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Experience overseeing budgets and expenses.
- Experience developing internal processes and data management systems.
