Job Title: Administrative Assistant Job Description
As an Administrative Assistant, you will manage calendars, schedule meetings, and coordinate appointments for leadership and departmental teams at a manufacturing site. You will provide comprehensive administrative support, including filing, scanning, document preparation, and correspondence. This role requires maintaining accurate physical and electronic records and filing systems, and serving as a liaison between departments, vendors, and customers to support operational efficiency.
Responsibilities
- Manage calendars and schedule meetings for leadership and departmental teams.
- Coordinate appointments and serve as a manufacturing site administrator.
- Provide administrative support, including filing, scanning, and document preparation.
- Maintain accurate physical and electronic records and filing systems.
- Serve as a liaison between departments, vendors, and customers.
- Handle incoming calls, emails, and general inquiries.
- Assist with report preparation, presentations, and other business documentation.
- Track office supplies and support inventory-related administrative activities.
- Ensure compliance with company policies and document control procedures.
Essential Skills
- 2+ years of administrative support experience, preferably in a manufacturing, industrial, or operations environment.
- Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Must be bilingual in Spanish.
Additional Skills & Qualifications
- High school diploma or equivalent required.
- Experience with document control, records management, or ERP systems is a plus.
- Ability to work independently and collaboratively in a fast-paced environment.
Work Environment
This position is fully on-site with the option of working four 10-hour days or a standard 5-day work week. Hours are slightly flexible outside of core business hours. This is a Contract to Hire position based out of Tampa, FL.
Pay and Benefits
The pay range for this position is $19.00 - $19.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
