Position Overview:
The Senior Loan Officer Assistant is responsible for managing assigned residential mortgage loan pipelines and supporting the timely progression of loans from application through closing. This role reviews loan documentation for accuracy and compliance, coordinates with borrowers and key stakeholders throughout the lending process, resolves issues that may impact loan approval or closing timelines, and ensures mortgage files are maintained in accordance with company, investor, and regulatory requirements. The position requires excellent organizational skills, attention to detail, knowledge of mortgage lending practices, and the ability to effectively manage multiple priorities while delivering a high-quality borrower experience.
Job Responsibilities:
- Proactively manage assigned files and tasks from initiation through resolution, anticipating next steps, following up with all parties necessary to move the loan forward, and closing the loop with borrowers, referral partners, and team members.
- Resolve routine issues independently and escalate complex or high impact matters to the Loan Officer only when necessary.
- Monitor and manage assigned mortgage loan pipeline to support loans progressing efficiently through the origination and closing process.
- Review loan files for completeness, accuracy, and compliance with investor, company, and regulatory requirements.
- Coordinate with borrowers, loan officers, processors, underwriters, title companies, real estate agents, and other parties involved in the transaction.
- Identify outstanding conditions, documentation requirements, and potential issues that may impact loan processing or closing timelines.
- Assist in resolving complex loan scenarios by researching requirements, gathering information, and collaborating with internal and external partners.
- Review Loan Estimates, Closing Disclosures, and related mortgage documentation for accuracy.
- Maintain accurate loan records and update systems in accordance with company policies and procedures.
- Prioritize competing deadlines and manage multiple loan files simultaneously.
- Communicate status updates and follow through on action items to ensure timely resolution of file conditions.
- Support continuous improvement efforts by identifying opportunities to enhance workflow efficiency and borrower experience.
- Perform other duties as assigned.
Qualifications and Skills:
- High school diploma or equivalent required; bachelor's degree, preferred.
- Minimum of 3 years of mortgage industry experience as a loan officer, mortgage loan processor loan officer assistant, or a similar mortgage operations role.
- Experience with Conventional, VA, Jumbo loans, preferred.
- Mortgage originator license, preferred.
- Knowledge of residential mortgage loan documentation, terminology, and lending processes.
- Excellent organizational, analytical, and problem-solving skills to exercise sound judgment and decision-making within established guidelines.
- Skill in working independently with little supervision.
- Skill in managing multiple priorities while meeting established deadlines.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively within a team environment.
- Customer service mindset with demonstrated ability to maintain confidentiality and professionalism.
- Experience with Encompass or similar system, preferred.
- Proficiency with Microsoft Office applications.
