The Faculty Affairs Data & Operations Specialist drives strategic project implementation, manages faculty data and reporting processes, supports faculty performance review initiatives, and advances operational effectiveness through process improvement, data integrity, and project governance. This position plans, leads, executes, and oversees technology-adjacent projects and operational initiatives for the Office of Faculty Affairs at Thomas Jefferson University

Job Description

Job Duties

- Manages the verification, maintenance, and quality assurance of faculty data in Workday, ensuring faculty records, appointments, roles, departmental affiliations, and other key information are accurate, complete, and up to date.
- Executes and oversees the Faculty Annual Performance Review process, including project planning, timeline management, communications, documentation, tracking, issue resolution, and reporting to ensure timely completion and compliance with established requirements.
- Develops, maintains, and analyzes databases, reports, dashboards, and other data resources that support Faculty Affairs operations, strategic planning, and leadership decision-making.
- Evaluates, improves, documents, and maintains Faculty Affairs processes, procedures, and workflows to enhance efficiency, consistency, compliance, data integrity, and overall operational effectiveness.
- Plans, executes, monitors, and reports on Faculty Affairs projects and operational initiatives, ensuring objectives, deliverables, and timelines are achieved while providing regular status updates, risk assessments, and recommendations to leadership.

QUALIFICATIONS

Education - Required

- Bachelor’s Degree Higher Education Administration, Business Administration, Public Administration, Human Resources, Healthcare Administration, Information Systems, or a related field required
- Education Preferred - Master’s Degree

Experience - Required

- 3 years progressively responsible experience in higher education administration, faculty affairs, academic affairs, human resources, operations, project coordination, data management, or a related field required.
- Experience Preferred - Less than 1 year • Experience coordinating projects, managing timelines, and implementing process improvements preferred. Experience supporting faculty affairs, academic administration, healthcare education, or related higher education functions. Knowledge of enterprise information systems, preferably Workday, and the ability to manage, maintain, and analyze complex data sets

Knowledge, Skills and Abilities - Required

- Knowledge of reporting tools, dashboards, and data analysis techniques used to support operational and strategic decision-making. Knowledge of Microsoft Suites – Intermediate level (required). A strong customer service orientation along with demonstrated success in building professional relationship and working effectively with multiple constituents (such as faculty, staff, and students)

Licenses and Certifications - Preferred

- PMP - Project Management Professional - Project Management Institute

Additional Qualifications
Physical Demands
Lift and carry 25 lbs. frequent sitting/standing, frequent keyboard use, *patient care providers may be required to perform activities specific to their role including kneeling, bending, squatting and performing CPR.
