We are seeking a Junior Facilities & Workplace Coordinator who is organized, hands-on, and passionate about creating a productive workplace environment. In this role, you will support the day-to-day operation of our offices by coordinating workspace moves, supporting employee onboarding and offboarding, assisting with facilities activities, and providing basic workplace technology support.

What You’ll Do
As a Junior Facilities & Workplace Coordinator , you will help ensure employees have a safe, functional, and productive work environment. Your role will include:

Office Moves & Workplace Coordination
• Coordinate and support employee moves between offices, floors, and workspaces
• Set up and relocate workstations, monitors, docking stations, peripherals, and office equipment
• Assist with office consolidations, relocations, and workplace reconfigurations
• Maintain seating plans, workstation assignments, and occupancy records
• Conduct regular workspace audits to identify available desks and workspace requirements
• Coordinate temporary seating, hoteling stations, and hybrid workspaces
• Assist with furniture installations, deliveries, and office setup activities

Workplace Technology Support
• Provide basic support for workstation equipment including monitors, docking stations, keyboards, mice, cameras, and headsets
• Assist employees with meeting room and boardroom technology
• Support Teams, presentation equipment, displays, cameras, and audio systems
• Perform basic troubleshooting and escalate complex technical issues to the IT team
• Assist with maintaining organized technology storage areas and equipment inventories

Onboarding & Offboarding Support
• Prepare workstations and office setups for new employees
• Coordinate furniture, equipment, access cards, supplies, and workspace requirements
• Assist with workplace orientation activities as required
• Support offboarding activities including equipment collection and workstation turnover
• Work closely with HR, IT, and Administration to ensure a seamless employee experience

Facilities Support
• Conduct regular office inspections and identify maintenance or repair requirements
• Coordinate maintenance requests with building management and service providers
• Assist with office furniture, storage, supplies, signage, and equipment management
• Support vendor access, office deliveries, and facilities-related activities
• Help maintain clean, organized, and professional office spaces
• Support workplace safety and emergency preparedness initiatives

Space Planning & Documentation
• Maintain accurate seating charts, floorplans, equipment inventories, and move records
• Assist with updates to floorplans and workplace documentation
• Support office planning initiatives and future workplace projects
• Ensure workplace records remain current and accurately reflect office occupancy

Safety, Quality & Compliance
• Follow company policies, workplace procedures, and safety requirements
• Support a safe, organized, and productive work environment
• Maintain accurate records and documentation related to workplace activities
• Promote continuous improvement in workplace and facilities processes

About You
You are a dependable, service-oriented professional who enjoys helping others, solving problems, and working in a hands-on environment. You bring:
• Previous experience in facilities, office services, workplace support, IT support, property management, construction, warehousing, or a related field considered an asset
• Strong organizational and time-management skills
• Excellent communication and customer-service abilities
• Ability to manage multiple priorities and adapt to changing requirements
• A practical, solutions-focused approach to problem-solving
• Ability to work independently while collaborating with multiple departments

Technical Foundation
• Basic understanding of office technology, computer equipment, and workstation setup
• Experience supporting workplace moves, facilities activities, or office operations is considered an asset
• Familiarity with onboarding, offboarding, and workplace coordination activities
• Understanding of workplace health and safety practices
• Experience working with vendors, building management, or service providers is considered an asset

Software Proficiency
• Microsoft Outlook, Teams, Excel, and other Microsoft Office applications
• Familiarity with workplace planning tools, floorplan software, Bluebeam, Visio, or AutoCAD is considered an asset
• Ability to learn and adapt to new systems and workplace technologies

Physical Requirements
This is an active, hands-on position. The successful candidate must be comfortable:
• Walking between office floors and locations regularly
• Lifting, carrying, and setting up office equipment and workstation components
• Moving monitors, chairs, boxes, and workplace equipment
• Assisting with furniture moves and office reconfigurations
• Using carts, dollies, ladders, and other basic facilities equipment as required
