Assistant Facilities Manager – JLL
What this job involves:
As an Assistant Facilities Manager, you'll be the service ambassador and operational hub for our Indianapolis facility, ensuring seamless building operations and exceptional customer experiences. You'll manage our facility service request system, coordinate vendor activities, and serve as the primary point of contact for employees, vendors, and guests. This role combines hands-on facilities coordination with data-driven system management, playing a critical role in maintaining operational excellence and supporting JLL's commitment to delivering world-class facility services for our client, Carrier Corporation. You'll work closely with the Director of Facilities and the facilities team to anticipate needs, solve problems proactively, and create a welcoming, well-maintained workplace environment.
What your day-to-day will look like:
- Manage the JLL Corrigo work order system end-to-end, including intake, assignment, tracking, and closure of facility service requests while maintaining database integrity and generating operational reports
- Serve as the onsite service ambassador, meeting and greeting employees and guests with professionalism while anticipating occupant needs and addressing requests with urgency
- Conduct regular building inspections and floor walks to ensure shared spaces are well-maintained, properly stocked, and meet operational standards
- Coordinate with vendors, contractors, and facilities technicians to schedule and execute maintenance activities with minimal disruption to building operations
- Develop inspection forms, assessment checklists, and audit tools supporting preventive maintenance programs and continuous improvement initiatives
- Support special events, visitor management, security badge preparation, and concierge services including executive-level customer service
- Track asset information, spare parts inventory, and equipment documentation while collaborating with the operations team to optimize maintenance programs
Required Qualifications:
- 2-4 years of experience in facilities operations, building management, property management, or customer service/hospitality roles with facilities exposure
- Strong proficiency in Microsoft Office Suite, particularly Excel for data analysis, reporting, and manipulation
- Demonstrated experience with CMMS or work order management systems (Corrigo experience strongly preferred)
- Superior customer service skills with proven ability to interact professionally with all organizational levels and deliver exceptional client experiences
- Strong organizational abilities with capacity to multitask, prioritize competing demands, and work independently under time constraints
- Excellent written and verbal communication skills with collaborative working style and process-oriented mindset
- Physical ability to lift 20 lbs and conduct regular building walks including stairs and multiple floor levels
Preferred Qualifications:
- Associate's or Bachelor's degree in Facilities Management, Business Administration, Hospitality Management, or related field
- Experience with SmartSheet, Microsoft SharePoint, Performance Analytics tools, or data visualization platforms
- Previous work in commercial office building environments or corporate workplace services functions
- Basic knowledge of building systems (HVAC, electrical, plumbing) and maintenance terminology
- Annual security training compliance including panic alarm protocols, suspicious article recognition, and threat call handling
- Experience supporting executive-level services, special events coordination, or tenant services programs
Location: Indianapolis, IN
Work Shift: Full-time, Monday-Friday, standard business hours with occasional after-hours response for facility emergencies as needed
