The Opportunity
As a dedicated Executive Assistant , you will provide high-level administrative and operational support to members of the Executive Management Group (EMG), serving as a trusted partner who helps leaders maximize their time, effectiveness, and impact. In this highly visible role, you will manage complex calendars, coordinate extensive travel arrangements, anticipate competing priorities, and ensure executives are prepared for critical meetings, decisions, and commitments.

You are a proactive self-starter who thinks several steps ahead, anticipates needs, and identifies potential challenges before they arise. We offer a flexible work environment that requires an individual to be in the office 4 days per week.
This position will be based in Charlotte, NC campus located at 200 West Boulevard, Charlotte, NC 28203.

What You'll Do
- Provide high-level administrative support to Executive Management Group (EMG) leaders through complex calendar management, email coordination, call routing, records management, and the seamless flow of information across the organization.
- Manage complex domestic and international travel arrangements, expense reporting, team budgets, and administrative expenses with a focus on accuracy, efficiency, and stewardship of resources.
- Partner with executives to proactively prioritize competing demands, manage daily activities, and protect executive time by exercising sound judgment and effectively navigating requests, meetings, communications, and business priorities.
- Coordinate and facilitate executive meetings, including scheduling, attendee management, agenda development, preparation of meeting materials, documentation of key decisions and action items, and follow-through to ensure successful outcomes.
- Prepare, update, and quality review presentations, executive correspondence, and internal communications, ensuring content is accurate, professional, and aligned with USAA standards while maintaining appropriate confidentiality.
- Maintain awareness of organizational communications, business updates, and key deadlines, proactively ensuring leaders and teams remain informed and positioned to meet critical deliverables.
- Foster a positive team culture by coordinating employee engagement activities, including staff meetings, one-on-ones, skip-level meetings, leadership forums, and other team connection opportunities.
- Support talent and organizational processes by coordinating onboarding activities, transition planning, organizational chart updates, distribution list maintenance, and new hire integration to create a positive employee experience.
- Coordinate workplace logistics and operational activities, including workspace planning, on-site events, departmental resources, documentation management, and reporting support.
- Maintain office supply inventories and support department operations with a cost-conscious and service-oriented mindset.
- Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled in accordance with risk and compliance policies and procedures.
What You Have
- High School Diploma or General Equivalency Diploma.
- 4 years of directly related experience supporting senior executives, including management of complex calendars, executive travel, confidential communications, and high-priority business initiatives.
- Demonstrated ability to successfully manage competing priorities, shifting deadlines, and evolving business needs in a fast-paced executive support environment.
- Proven ability to build strong relationships and effectively collaborate with individuals at all levels of the organization.
- Excellent written and verbal communication skills with exceptional attention to detail, accuracy, and professionalism.
- Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Publisher, as well as Adobe products.
- Strong knowledge of spreadsheet development, data retrieval, reporting, presentation creation, and document management.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and manage sensitive information with discretion.
- Strong organizational, prioritization, and time management skills with the ability to adapt to changing priorities and deadlines.
- Self-starter with the ability to work independently, anticipate needs, solve problems proactively, and drive work forward with minimal direction.

- Executive support experience within a large-scale, matrixed corporate environment.
- Demonstrated success supporting multiple executives, including Vice Presidents and other senior leaders, while effectively balancing competing business priorities.
- Experience serving as a trusted partner to senior leaders by anticipating needs, thinking several steps ahead, and proactively identifying solutions before challenges arise.
- Proven ability to maximize leader effectiveness by protecting executive time, navigating complex stakeholder requests, and exercising sound judgment with minimal direction.
- Assertive communicator who is comfortable clarifying expectations, aligning priorities, and respectfully challenging requests when necessary to achieve desired business outcomes.
- Demonstrated ability to build trusted relationships, influence across teams, and navigate ambiguity in a fast-paced environment where priorities frequently shift.
- US military experience gained through military service or gained as a military spouse / domestic partner.
Compensation range: The salary range for this position is: $63,590.00 - $121,530.00 .

Compensation: USAA has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market data of the position. The actual salary for this role may vary by location.
Employees may be eligible for pay incentives based on overall corporate and individual performance and at the discretion of the USAA Board of Directors.
