The Sales Support Assistant reports to the Director of Customer Relations, and provides responsive administrative, operational, and customer support throughout the sales cycle, helping Customer Relations move faster on both hunting (new customer acquisition) and farming (retention and growth of existing clients). This role helps the Customer Relations team work efficiently by supporting quotations and sales documents, maintaining customer and opportunity records, and serving as a dependable liaison among Siemens and Centella teams.
main duties and responsibilities
- Enter and maintain accurate customer, contact, opportunity, pricing, and activity information in the CRM and related systems, including Shareville and Microsoft Dynamics, supporting Account Executives during the transition toward opportunity owners maintaining their own CRM data and helping maintain data parity between the two systems until a permanent technical solution is in place.
- Keep customer contacts up to date in the CRM system.
- Respond professionally to customer inquiries and route technical, commercial, or service issues to the appropriate Account Executive, or, for Siemens-specific product questions, the relevant Siemens Product Sales Executive.
- Coordinate with operations, purchasing, logistics, finance, service, and vendors to support timely order fulfillment and installation.
- Maintain organized electronic files for quotes, purchase orders, contracts, correspondence, and customer documentation.
- Schedule customer meetings, demonstrations, site visits, and internal sales reviews; prepare agendas and supporting materials when needed.
- Assist with lead follow-up, bid and tender documentation, vendor registrations, and collection of required compliance documents.
- Prepare recurring forecasts, order-status, backlog, losses, and activity reports for sales leadership in the CRM.
- Support trade shows, customer events, product demonstrations, and sales campaigns, including logistics and follow-up activities.
- Monitor shared sales inboxes and calendars, prioritize requests, and help ensure commitments and deadlines are met.
- Recommend improvements to sales-support workflows, templates, data quality, and customer communication.
- Support the sales team with customer activities such as tech week, customer dinner events, sales trainings, and ASTAR reporting.
- Coordinate with the Sales Administration function, once established, on data-quality standards, process documentation, and administrative workflows to ensure consistency as the role evolves.
- Support the sales cycle through order acceptance; order fulfillment, delivery logistics, installation, service scheduling, invoicing, and remittance processing are owned by Lifecycle Management.

- Comfort working with pricing, product specifications, purchase orders, and basic sales reporting.
- Ability to work independently while collaborating effectively across departments.
- Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint, and AI tools; experience with CRM, ERP, or order-management software preferred.
- Customer service and relationship-support orientation, with sound professional judgment and confidentiality.
- Initiative, adaptability, and problem-solving mindset when coordinating across teams.
qualifications
- Undergraduate degree, associate degree, or coursework in business administration, sales, marketing, or a related field preferred, or equivalent combination of education and experience.
- 1 to 3 years or more of experience in sales support, customer service, order administration, or a similar administrative role preferred.
- Prior experience in supporting medical equipment sales or capital equipment sales is highly preferred.
