Job Purpose
As a member of the Contracts team, you will provide practical contracting support across both new business and existing customer relationships, acting as a primary contact for new business deals and renewals. The role focuses on negotiating new business agreements, drafting renewals and related amendments, managing incoming contracting requests, maintaining standard templates, and keeping contract records accurate and up to date.
You will work closely with the Legal and Privacy teams and act as a primary point of contact for CSG, Sales, Finance, and other stakeholders. You will manage both new business inquiries and a high volume of renewal activity, typically within short turnaround times. This will include negotiating new customer agreements, preparing renewal amendments, and managing more bespoke amendments for legacy or non-standard agreements. You will also maintain and manage templates, provide reporting based on contract terms, and respond to contract-related questions from across the business.
The Contracts Manager will take ownership of a broad portfolio of commercial agreements, supporting both new business opportunities and renewals from initial review through negotiation and execution. Working closely with Sales and the wider business, you will proactively progress contracting discussions, navigate legal and commercial considerations, and help move deals forward efficiently while protecting the interests of the business.
Main Responsibilities :
- Manage the Contracts queue by reviewing, prioritizing, assigning, and progressing requests in a timely manner, ensuring new business deals and renewals move through the contracting process efficiently.
- Take ownership of new business contracts from initial review through negotiation and execution, working directly with Sales and other internal stakeholders to progress deals and resolve contractual points.
- Review, draft, and negotiate customer agreements, including MSAs, order forms, amendments, renewal agreements, and other commercial contracts.
- Act as a primary point of contact for contracting requests and questions from Sales, Account Managers, CSG, Finance, and other internal stakeholders.
- Manage contract negotiations with customers and their legal or procurement teams, using approved positions and guidance to resolve contractual and commercial points and escalating more complex or higher-risk matters where appropriate.
- Prepare and adapt approved standard templates for new business, renewals, and related customer contracting needs, often within short turnaround times.
- Draft renewal amendments, MSA amendments, substitution agreements, and other documents needed to support new and existing customer relationships, including moving customers from legacy or non-standard contracts onto current terms.
- Review customer-proposed terms and contract redlines, identify key contractual or commercial issues, and work with internal stakeholders to determine an appropriate response.
- Support more bespoke or complex agreements by gathering instructions, reviewing proposed terms, coordinating input from relevant stakeholders, and escalating substantive legal or commercial points where appropriate.
- Maintain current template versions and ensure the correct approved template and contracting position is used.
- Coordinate with Legal, Privacy, Finance, Sales, CSG, and other stakeholders to obtain the input and approvals needed to progress contracts through to completion.
- Save drafts, redlines, stakeholder approvals, final versions, and signed agreements in the appropriate shared drives and contract systems.
- Maintain accurate contract and request information in Salesforce, Conga, SharePoint, SimpleDocs, and other relevant systems.
- Coordinate and track internal approvals and signature routing, and ensure completed agreements are returned, recorded, and filed correctly.
Track new business and renewal contracting activity and provide regular status updates to the Contracts team and relevant stakeholders.
- Identify opportunities to improve contracting processes, templates, guidance, and ways of working to support efficient and consistent contract management.
- Carry out other contract management activities as needed.
Knowledge, Skills and Experience Needed for the Job :
- Relevant experience in contract management, legal operations, sales operations, customer renewals, new business, or a similar business support role.
- Experience preparing and managing contracts, amendments, templates, or other business documents; experience in a software or SaaS environment is helpful but not essential.
- Strong organizational skills, with the ability to manage a high volume of requests and meet short turnaround times.
- Excellent attention to detail and a consistent approach to document control, version management, and record keeping.
- Clear written and verbal communication skills and confidence working with internal stakeholders.
- Confident using Microsoft Word and Excel and comfortable learning systems such as Salesforce, SharePoint, Conga, and SimpleDocs.
- Able to identify when a request falls outside an approved template or process and should be escalated.
- An interest in developing broader commercial contracting knowledge over time.
