This position will work onsite full-time.
The IG Specialist position performs essential onsite tasks related to the governance of information and records at the Firm. Assists in processing incoming information, sorts, codes and classifies material for integration into systems, including the data entry of physical and electronic material. Maintains firms information assets throughout their lifecycle. Retrieves / references information for customers. Utilizes departmental technology systems to perform necessary job functions. Essential job functions include:
- Demonstrates proficiency in departmental technology systems, including the Document Management System and the Records Management Software.
- Sorts, classifies, and files various physical and electronic media types.
- Answers department Help Line and responds to e-mail requests.
- Retrieves and distributes requested files or filing.
- Prepares additional new sub-files within the file classification plan.
- Performs quality assurance on all data entry and scanned images for information assets across all media types.
- Manages the retrieval of information to and from the Firms internal and external customers, by utilizing the Records Management Software.
- Prepares and indexes material for transfer to off-site storage. Communicates with timekeepers to identify eligible material. Assists in identifying material not suitable for long-term storage.
- Creates and maintains electronic and imaged records. Includes the preparation of physical documents, digitizing, manipulating, and profiling.
- Promotes the Firms Paper Lite objective to reduce the creation of physical paper client and administrative files.
- Ensures information security compliance such as ethical walls, protective orders, and legal holds.
- Assigns retention codes to various media and assists in retention schedule related tasks.
- Provides guidance and support to end users on Information Governance processes and procedures.
- Performs other duties as may be required.
PHYSICAL REQUIREMENTS
This position requires team members to regularly situate themselves to work with office equipment. Individuals in this role frequently move office equipment weighing up to 50 pounds throughout the office; they need to occasionally move about inside the office to access file cabinets, office equipment, and work at other employees stations. They frequently operate a computer and other office equipment. This role requires individuals frequently communicate with other professionals and must be able to exchange accurate information. Team members must be able to remain in a stationary position 50% of the time.
POSITION REQUIREMENTS
- High School Diploma or GED required, Associate degree preferred or commensurate professional or educational experience.
- 3+ years relevant experience required, preferably in a professional services environment. 2 years relevant experience if completed additional education past high school.
- Strong computer skills including working knowledge of Microsoft Office Suite, general database systems and technology in general. Experience with FileTrail and NetDocs preferred.
- Ability to operate office equipment including PCs, printers, phones, and copiers
- Help to create a positive, welcoming, collegial environment by delivering superior service to all internal and external customers.
- Demonstrate professional written and verbal communication, proofreading, and organizational skills.
