Job Summary

The Workplace Portfolio, Sr. Project Manager leads complex projects across BRG’s global workplace portfolio and owns defined programs that improve capital planning and project delivery. The role combines hands-on responsibility for office expansions, relocations, and renovations with portfolio analysis and executive recommendations. Program ownership includes workplace standards and governance, delivery tools and playbooks, and strategic process improvement.

Working with the Head of Workplace Portfolio, this person translates business needs into practical options, maintains reliable project controls, and develops consistent delivery practices across locations. The role exercises independent judgment within approved scope and budgets. Portfolio strategy, capital allocation, and lease or contractual commitments remain subject to established leadership and legal approvals.

Reports to: Head of Workplace Portfolio

Role: Senior individual contributor; no direct reports

Travel required: 25–50% domestic and international.

Duties and Responsibilities

Project Delivery

- Act as BRG’s owner’s representative for assigned workplace projects, directing external project teams and managing delivery from market surveys and site selection through design, construction, commissioning, and occupancy, including furniture, workplace technology, and relocations. Exercise this responsibility within approved scope, budgets, and authority.
- Direct architects, engineers, contractors, and other project providers. Lead procurement, bid evaluations, scope development, and vendor negotiations in coordination with Legal and other required approvers.
- Adapt project delivery to local market conditions, regulatory requirements, and procurement practices, coordinating with regional partners and required internal approvers.
- Review test fits and construction documents, conduct site inspections, and coordinate technology, security, and building-system requirements.
- Manage operational handoff and closeout, including readiness checks, as-built documents, warranties, final accounts, and landlord obligations such as tenant-improvement reimbursements.

Analysis & Planning

- Lead assigned portfolio-planning initiatives, using headcount forecasts and utilization data to evaluate renewals, relocations, expansions, and consolidations.
- Develop decision-ready business cases comparing capacity, total occupancy cost, capital requirements, and delivery risks. Recommend a preferred option and identify the approvals needed.

Capital Planning & Program Controls

- Own annual and multi-year capital plans for assigned projects, including budgets, cash-flow forecasts, commitments, and variance reporting. Partner with Finance to distinguish capital expenditure from ongoing occupancy costs.
- Develop and maintain capital-project budgeting tools and processes with Finance and IT, including estimating templates, cost benchmarks, forecasting, and variance reporting. Standardize their use across projects and improve reporting to reduce manual work.
- Maintain an integrated view of concurrent projects, including schedule dependencies, resource conflicts, and emerging risks.
- Apply approval checkpoints and change-control procedures. Escalate scope, cost, or schedule changes with a clear recommendation before commitments exceed delegated authority.

Communication & Stakeholder Management

- Partner with office leaders, Finance, and the Head of Workplace Portfolio to prioritize needs and translate approved decisions into sequenced project plans. Present recommendations and progress to executive audiences.

Workplace Program Leadership

- Own and maintain workplace project standards and governance approved by the Head of Workplace Portfolio. Define consistent delivery stages, review checkpoints, documentation requirements, and escalation procedures within established approval boundaries.
- Develop and maintain workplace playbooks, templates, and procedures covering project initiation through operational handoff. Support consistent use across the global portfolio while allowing for local requirements.
- Develop and maintain RFP templates and procurement playbooks for project management, design, and construction services. Standardize scopes, evaluation criteria, and selection documentation in coordination with Legal and required internal approvers.
- Capture global project best practices and lessons learned through structured post-project reviews. Incorporate findings into delivery standards, playbooks, and team guidance.
- Lead value-engineering and sourcing reviews that evaluate cost, operational requirements, and delivery risk. Document approved savings against an agreed baseline and use project results to improve cost benchmarks and procurement practices. Maintain vendor-performance measures and use post-project reviews to improve delivery and identify repeatable savings.
- Mentor team members in financial analysis and executive communication. Review work quality and help resolve complex project issues without assuming direct people-management responsibility.
- Coordinate reliable lease, critical-date, occupancy, and cost reporting with the relevant record owners to support proactive planning.
- Lead assigned workplace environmental, social, and governance (ESG) initiatives and incorporate approved sustainability requirements into project delivery. Coordinate greenhouse gas (GHG) savings analysis and reporting, documenting baselines and validating calculations and reported results with the appropriate internal owners.
- Lead assigned strategic process-improvement initiatives across the workplace portfolio. Identify delivery and reporting gaps, develop implementation plans, and measure results against agreed cost, cycle-time, quality, or risk measures.

Required Qualifications

- Bachelor’s degree or equivalent practical experience.
- 8+ years of progressive experience in workplace, corporate real estate, architecture, construction, interior design, facilities, or related project management fields.
- Demonstrated delivery of complex commercial office projects and concurrent initiatives across multiple locations.
- Strong command of capital planning, forecasting, procurement, construction documentation, and project controls.
- Advanced Excel and PowerPoint skills, with experience developing scenario models and presenting concise recommendations to senior leadership.
- Evidence of improving delivery standards or business processes, leading external teams, and mentoring colleagues.
- Strong written communication and independent judgment; ability to manage ambiguity and travel domestically and internationally as required.

Preferred Qualifications

- Experience with global workplace portfolios, occupancy planning, and lease administration or portfolio-reporting systems such as Visual Lease.
- Experience with workplace sustainability or greenhouse gas reporting, including documented baselines and savings analysis.
- Experience with Bluebeam Revu, Microsoft Project, and workplace technology or building systems.
- PMP, LEED AP, NCIDQ, architectural, construction, or other relevant professional certifications.

Salary Range: $145,000- $195,000
