As (Associate) Project Coordinator in Facility Management, you will play a crucial role in planning, tracking, and coordinating projects and initiatives at BTEC. You will own project documentation, dashboards, and stakeholder communications, keeping timelines, risks, and deliverables aligned. Working closely with the Facility Management team, you will streamline internal processes and drive cross-functional coordination across maintenance, engineering, workplace, waste & logistics, and other stakeholders. This role is ideal for someone who is highly organized, detail-oriented, and comfortable working across multiple engineering disciplines in a fast-paced environment.
- Plan, track, and coordinate key projects and initiatives across the Facility Management team and wider stakeholder groups
- Prepare and maintain project documentation, dashboards, status reports, and presentations for internal and senior stakeholders
- Monitor project timelines, risks, and deliverables to ensure alignment with goals and drive timely follow-up on action items
- Coordinate with internal teams — including maintenance, engineering, workplace, and waste & logistics — to ensure seamless communication and project alignment
- Organise and manage schedules, agendas, and documentation for strategic meetings and project milestones
- Leverage internal AI tools to optimise, create, and improve workflows and processes within Facility Management
- Conduct research and data analysis to prepare summaries and briefs that support leadership decision-making
- Completed degree in Business, Project Management, Operations, Engineering, or a related field
- Relevant professional experience in project coordination, PMO, or operations — ideally within a technical, industrial, or facilities environment
- Working knowledge of project management methodologies (Agile, Waterfall, Kanban, Scrum) and tools such as Jira, MS Planner, or Roadmaps
- PMP Certification (Project Management Professional) is advantageous
- Proficiency in MS Office, particularly Excel and PowerPoint
- Ability to interface effectively with multiple engineering disciplines and manage competing priorities in a fast-paced environment
- Fluent English is required; German is preferred and additional languages are an advantage
