About this role

TransCore (TCI), a subsidiary of ST Engineering, is seeking a full-time, on-site Project Coordinator to join our team in Miramar, Florida. This position requires regular on-site attendance.

Job Summary: The Project Coordinator supports the Project Manager in coordinating administrative, operational, and project-related activities associated with Intelligent Transportation Systems (ITS) maintenance and installation operations. This position assists with scheduling personnel, maintaining project documentation, coordinating field activities, monitoring project performance, supporting budget and invoice processes, and facilitating communication among management, technicians, customers, vendors, and external stakeholders.

Essential Duties and Responsibilities

The essential duties and responsibilities include, but are not limited to:

- Support the Project Manager with administrative, operational, and project coordination activities.

- Prepare correspondence, reports, project documentation, and status updates.

- Assist with monitoring project expenses, budget performance, and invoice preparation.

- Coordinate employee schedules, assignments, and resource allocation.

- Maintain accurate project records and documentation.

- Monitor and report field support activities and project progress.

- Assist with onboarding, training coordination, and performance documentation for field personnel.

- Support planning, implementation, and evaluation of maintenance activities and service delivery.

- Assist with inventory management, asset tracking, and equipment accountability.

- Coordinate and communicate with customers, vendors, government agencies, and other stakeholders as needed.

- Support compliance with company policies, contract requirements, and safety procedures.

- Perform other duties as assigned.

Required Skills and Qualifications

- Typically requires 2-5 years of related experience.

- Experience supporting project coordination, operations support, scheduling, administrative functions, or related activities.

- Strong organizational skills and attention to detail.

- Ability to manage multiple priorities and meet deadlines.

- Strong analytical and problem-solving skills.

- Valid driver's license and ability to maintain a driving record that meets TransCore's driving requirements.

- Effective verbal and written communication skills.

- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.

- Ability to work independently and collaboratively in a team environment.

- Knowledge of project tracking, budgeting, invoicing, and reporting processes.

- Experience supporting transportation, maintenance, field operations, construction, or Intelligent Transportation Systems (ITS) activities preferred.

- Ability to coordinate personnel, equipment, and resources in a fast-paced operational environment.

- Ability to adjust work schedules as needed to support operational requirements.

Education

- High school diploma, GED, or an equivalent combination of education, training, and experience preferred.

Work Environment and Physical Requirements

The employee is regularly required to sit, stand, walk, communicate effectively, and use hands and fingers to operate office equipment and computer systems. Occasional bending, stooping, kneeling, climbing, balancing, or crouching may be required when supporting field activities. The employee may occasionally lift and/or move up to 30 pounds.

The employee must be able to read, interpret, and prepare correspondence, reports, project documentation, and other business records; communicate effectively with employees, customers, vendors, and management; perform basic mathematical calculations related to project tracking, budgeting, invoicing, and operational reporting; and apply sound judgment when carrying out written and verbal instructions and resolving routine operational issues.

While performing field-related duties, the employee may be exposed to outdoor weather conditions, moving traffic, moving mechanical parts, and other conditions associated with transportation infrastructure operations.
