Essential Duties and Responsibilities
The following duties are representative. Other duties may be assigned.
Coordination and Tracking
- Verify quantity, paperwork, and system work of materials.
- Verify system status and documentation accuracy against physical material, and provide the RMA planner with the information needed to complete SAP transactions.
- Lead the workcell to meet agreed RMA turnaround times and commits as communicated by the RMA planner; provide real-time feedback when commits are in jeopardy.
- Work closely with the RMA planner, Planning, Inventory Control, and the Quality Supervisor to make sure the resources needed to meet commits are available.
- Track progress of orders to ensure they move through the process in time to meet committed delivery dates.
- Communicate problems, concerns, and recommendations to the workcell support staff.
- Maintain all required documentation and files, including delivery and shipping documentation.
Hands-On Fulfillment and Shipment Readiness
- Monitor staged material and pull completion status; verify all required components are available and verified before shipment preparation begins.
- Support urgent, expedited, and customer-critical commissioning and field requests, adjusting workcell priorities as needed.
- Perform packing and shipment preparation for RMA, commissioning, and field support orders.
- Verify material against pull lists and packing requirements, including part number, revision, quantity, and labeling.
- Package material using approved methods and prepare skids, pallets, and crates for shipping.
- Coordinate Quality and Outbound Audit (OBA) inspections and resolve discrepancies identified.
- Release material to shipping in line with customer requirements and shipping schedules, and communicate status to the RMA planner.
Direction and Priorities
- Provide the workcell with priorities and direction to meet commits.
- Provide daily direction and guidance to the Dedicated CX Puller, including pull priorities and staging requirements.
- Identify and remove bottlenecks in the fulfillment flow, and balance daily workload across the workcell to keep orders moving.
- Order necessary components, boxes, and tools from the stockroom and provide them to the team.
- Provide direction and support to group leaders to ensure they are meeting the needs of their customers.
- Escalate shortages, inventory discrepancies, and material issues to Inventory Control and Planning.
- Support onboarding and training of new team members on packout, safety, and quality standards.
Workcell Standards, Documentation, and Improvement
- Own 5S and visual management standards for the fulfillment line, including labeling, floor markings, staging locations, and workcell audit readiness.
- Control shop floor supplies and consumable stock — packaging materials, boxes, crating, labels, and tooling — maintaining minimum levels and reordering to prevent shortages that stop pack out.
- Read Deviations and Work Instructions and ensure the necessary actions are performed relative to RMA and commissioning orders; ensure the team provides work instructions and rework packages for upgrades or complicated rework.
- Track workcell performance measures such as on-time shipment, shipment accuracy, turnaround time, and drive process improvements and standard work.
- Participate in Lean and continuous improvement initiatives within the fulfillment workcell.
- Adhere to all safety and health rules and regulations associated with this position and as directed by the supervisor.
- Comply with and follow all procedures within the company security policy.
Management & Supervisory Responsibilities: Provides daily work direction and priorities. This role is not directly responsible for managing employees (e.g., hiring, termination, pay decisions, or performance management).
Minimum Requirements
- High school diploma or equivalent preferred; and three to five years of relevant experience; or an equivalent combination of education and experience.
- Must be able to obtain and maintain all required job-related certifications.
Knowledge, Skills, and Abilities
- Experience with RMA, fulfillment, shipping, or material coordination in a manufacturing environment.
- Ability to read and interpret pull lists, packing lists, work instructions, and shipping documentation.
- Working knowledge of Microsoft Excel, Outlook, and Teams.
- Strong organization, prioritization, and attention to detail in a fast-paced environment.
- Clear communication and problem-solving skills across Quality, Planning, Inventory Control, Shipping, and Project Management.
Preferred Qualifications
- Experience supporting commissioning, field service, or customer escalation requirements.
- Knowledge of outbound quality inspection and freight or shipping documentation processes.
- Previous experience leading or coordinating a small operational team.
- Lean Manufacturing or 5S experience.
- Familiarity with Oracle, SAP, or Procore.
Working Conditions
- Onsite manufacturing and fulfillment environment.
- Ability to stand, walk, bend, reach, and perform repetitive tasks for extended periods, with or without reasonable accommodation.
- Ability to lift and move materials up to 40 pounds, with or without reasonable accommodation; mechanical lifting devices and team lifts may be used.
- Overtime may be required to support customer-critical shipments.
