We are currently seeking a Real Estate & Facilities Analyst to join our Real Estate, Facilities & Security team in our New York, NY location.
JOB RESPONSIBILITIES :
Real Estate Transactions Lease Administration
- Support new leases, renewals, expansions, subleases, and terminations from requirements through execution
- Track the deal pipeline and prepare deal summaries for leadership
- Conduct property and ownership due diligence
- Abstract leases and amendments and maintain the lease database
- Track critical dates: renewal options, expirations, notice deadlines, and rent escalations
- Review rent, operating expenses, and real estate tax charges and support reconciliations with Finance
- Maintain portfolio reporting on square footage, occupancy, headcount, and occupancy cost
- Manage landlord correspondence, certificates of insurance, and lease files
- Prepare and organize confidential materials related to real estate, leases, strategic planning
- Prepare market surveys, site comparisons, and lease proposal analyses (total occupancy cost, net effective rent) as needed
- Coordinate with brokers, landlords, outside counsel, and internal Legal and Finance Teams as needed
Facilities operations
- Manage administrative duties including travel arrangements, expense reports, calendar, etc. for VP as needed.
- Act as the liaison between internal clients and external contacts, including but not limited to building management, team members, senior management, contractors, vendors, etc.
- Utilize Oracle to enter vendor proposals and quotes for specific projects at the direction of Director.
- Enter new or updated versions of contracts in Oracle to ensure approvals are obtained in timely manner.
- Facilitate building maintenance and building service requests (BSR) as well as provide updated COI’s for vendor access into the building
- Create new nameplates, issue keys for desks/offices, for new hires or existing employees when needed.
- Serve as back up support for restacks, auditing seating assignments in Space IQ, office move spreadsheets, etc.
- Enter all vendor and project related proposals and quotes in Oracle and tracking P.O.’s issued by Purchasing department. Provide purchase order numbers to vendors to ensure information is documented on invoices.
- Manage facilities vendor contracts, purchase orders, invoices and track spend against budget
- Track schedules and budgets for office refreshes and capital projects
- Engage in cross-functional collaboration with numerous departments and levels of the company, become fully engaged in ad-hoc projects and tasks. Keep track of all vendor COI’s and obtain updated documents as necessary.
- Liaise with property management on time sensitive building requests, and submit freight elevator reservations for vendor access, keep track of all vendor COI’s and obtain updated documents as necessary.
- Work with Facilities Manager and Coordinator to ensure rent, electrical, HVAC, cleaning, security, etc. invoices are processed in Oracle on a weekly and/or monthly basis. Provide vendors with updates regarding payment status in timely manner.
Hospitality, Company Events & Activations
- Assist in planning and execute internal office events such as town halls, holiday events, and employee engagement programs
- Partner with Marketing and Publicity on in office activations for new series and film Releases
- Manage event logistics for all AMC Global Media depts as needed: space setup, catering, AV, signage, vendors, and budgets.
- Identify areas where we can execute events to push forward AMC culture goals
- Secure building approvals and vendor insurance for events and activations
QUALIFICATIONS (Required & Preferred)
- Bachelor’s degree
- 2-4 years of experience
- Ability to work in a face-paced environment, comprehend and interpret instructions from VP, team members, colleagues and ask clarifying questions to obtain sufficient understanding.
- Ability to create routine reports and presentations using Excel, Power Point and draft correspondence for VP & department when needed.
- Intermediate to Advanced skills with Adobe, Microsoft Office Suite, Eptura and real estate software
- Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
- Ability to use ticketing systems: Angus, ServiceNow, CAFM and Oracle.
The base compensation for this position is $70,000 - $80,000 commensurate with experience.
