## Position Summary
As the Operations Specialist, you will oversee the day-to-day administrative operations of STERIS Japan, ensuring efficient and compliant business support across the organization. This broad-based role encompasses office administration, customer service, and vendor management, while ensuring adherence to corporate policies, regulatory requirements, and local laws.
You will serve as a key point of contact for customers, delivering responsive and professional frontline support to maintain the highest levels of customer satisfaction. Working closely with cross-functional teams, you will coordinate issue resolution, strengthen customer relationships, and support seamless business operations through effective communication and collaboration.
## What You Will Do
- Manages Japan office and facilities. Conducts office maintenance including but not limited to space utilization, office decoration projects, office safety, equipment & stationary management, emergency & security management, workplace well-being to ensure efficiency. Responsible for the reception of visitors and the introduction of the company.
- Manages company administration. Develop and implement administration policies and procedures upon the approval of management. Monitors the renewal of company legal documents, certificates, leasing contract and other legal entities documents. Handles actions to public emergencies, such as epidemic prevention.
- Responsible for drafting, revising, and issuing including but not limited to internal documents, notices, and official letters of company. Manages multiple digital channels, like announcements, notice, survey, newsletters, field connections.
- Organizes and coordinates the office-wide annual, quarterly and monthly events, such as annual dinner, festival activities. Collaborate with HR Department to brainstorm on employee activities and actively leads and carries out the engagements to enhance and promote the company culture.
- Responsible for local vendor management including administration and commercial related, review and collect qualification documents from new vendors, ensure all licenses and certificates are valid and up to date. Maintain supplier master data, including contact information, contract terms, and compliance records.
- Handle the customer orders from order entry to goods delivery. Ensure the accuracy and on time for entering the order into the system. Closely follow up order fulfilment and alert for any possible delay to avoid Customer complaint. Archive orders, contracts and other supporting documents
- Responsible for dealer management. Monitor dealer performance regularly and feedback to commercial team. Collect dealer feedback including process, product, Customer experience etc. for further streamline and improvement, support on Custom clearance, new accounts compliance check, new products set-up.
- Support local operations by coordinating with domestic warehouses, logistics providers, and internal teams to ensure timely material availability and distribution alignment with business needs.
- Provide local support to Finance and HR.
## The Experience, Skills and Abilities Needed
- Diploma or higher qualification in Business Administration, Customer Service, or a related discipline, with 3–5 years of relevant business experience, including 1–3 years in a customer support or customer service role. Experience within the healthcare or medical device industry is preferred.
- Customer-focused professional with a strong commitment to delivering excellent service and building positive relationships with customers and stakeholders.
- Highly organized, detail-oriented, and results-driven, with strong analytical, planning, and follow-through capabilities.
- Independent, self- motivated and able to multi-task to meet deadline.
- Effectively prioritizes and manages multiple tasks.
- Fluent in Japanese and proficient in business-level English, with the ability to communicate effectively across local and regional teams.
- Proficient in Microsoft Office applications (Word, Excel, and PowerPoint), with experience using ERP systems and managing business data.
- Knowledge of customer service practices, export sales procedures, and shipping documentation is highly desirable.

This position requires knowledge of English due to the nature of the duties involved, including regular communications outside the province of Quebec, training, email communications, and frequent meetings and interactions with English- only employees.
