We are looking for a Coordinator, Operations Support for the Southern Region, to help support our growing operation which provides exemplary, highly coordinated primary health care in the right place, from the right provider, at the right time.

The Operations Support Coordinator provides comprehensive scheduling, logistical, inventory, and operational support to the Operations leadership team. The position is responsible for coordinating scheduling, maintaining inventory systems, equipment coordination, and facilitating effective communication and coordination between operational departments.

The incumbent serves as a key resource for operational leaders, ensuring efficient administration, accurate inventory management, and successful coordination of operational initiatives across Ambulance New Brunswick (ANB) and Medavie Health Services New Brunswick (MHSNB).

Roles and Responsibilities:

Scheduling & Workforce Coordination

- Provide administrative and operational support for workforce scheduling processes.
- Maintain and update scheduling systems to ensure accurate workforce assignments and staffing levels.
- Coordinate shift vacancies, relief coverage, overtime opportunities, schedule changes, and staff availability in accordance with organizational policies and collective agreements.
- Assist managers with workforce planning activities to support operational readiness and service delivery requirements.
- Coordinate vacation schedules, leave requests, educational training, and other staffing adjustments while ensuring adequate operational coverage.
- Communicate schedule changes, staffing shortages, and operational staffing requirements to employees and management.
- Maintain scheduling records and documentation to ensure compliance with organizational, labor, payroll, and legislative requirements.
- Identify scheduling efficiencies and recommend process improvements to enhance resource utilization and operational effectiveness.
- Act as a resource for staff and management regarding scheduling procedures, systems, and workforce deployment practices.

Inventory, Logistics & Asset Management

- Coordinate inventory management activities for medical supplies, pharmaceuticals, and operational equipment.
- Maintain oversight of inventory levels and support procurement processes to ensure operational readiness.
- Coordinate shipping, receiving, distribution, and tracking of operational supplies, uniforms, and equipment.
- Administer inventory management systems and act as a key resource for users.
- Perform inventory reconciliations and support financial reporting requirements.
- Monitor and manage backordered, allocated, expired, or recalled supplies and equipment.

Equipment Coordination

- Coordinate repairs, inspections, equipment replacement activities, and vendor service appointments.
- Assist with procurement, deployment, and implementation of new equipment.
- Support equipment evaluations, pilot projects, and operational testing initiatives.

Project Support

- Assist with process improvement initiatives and special projects.
- Support accreditation, quality improvement, and operational readiness initiatives.
- Participate in project teams and lead assigned operational support initiatives.

As the ideal candidate for this role, you have:

- Education in Business Administration, Office Administration, Supply Chain Management, Healthcare Administration, or a related field; or an equivalent combination of education and experience.
- Minimum three (3) to five (5) years of progressive experience in scheduling, operational, logistics, or inventory roles.
- Experience providing support to managers or senior leadership teams is preferred.
- Experience with workforce scheduling, staff deployment, payroll reconciliation, or scheduling software systems is considered an asset.
- Experience with inventory management, procurement, logistics, or healthcare operations is considered an asset.

The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
