As a Program Assistant, you will provide essential administrative and operational support to the ITCD team. This role serves as a central point of communication for clients, families, and staff while coordinating schedules, supporting intake processes, managing documentation, tracking data, maintaining supplies, and assisting with daily program operations. Your contributions will help ensure services are delivered efficiently and effectively to the individuals and families we serve.

- Key Responsibilities:
· Coordinate daily, weekly, and monthly schedules to support client services and team operations
· Welcome clients, families, and visitors while serving as a professional and compassionate first point of contact
· Manage incoming calls and communications, ensuring timely coordination between staff, clients, and community partners
· Support intake, screening, and onboarding processes through accurate documentation and follow-up communication
· Participate in team meetings and contribute to collaborative planning and service coordination
· Maintain accurate and up-to-date client records in accordance with organizational and regulatory standards
· Collect, organize, and monitor program data to support reporting requirements and performance tracking
· Order, maintain, and track office supplies, equipment, and program resources to support daily operations
· Monitor program vehicles, including mileage tracking and maintenance scheduling
· Manage landline and cellular phone accounts for the program
· Assist with problem-solving efforts and provide supportive responses to client concerns while maintaining a calm and professional demeanor
· Promote effective communication and collaboration across departments and teams

- Education, Experience, and/or Credential Qualifications:
· Education and/or experience in human services, office management, administrative support, or a related field
· Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint
· Experience supporting a team environment and managing multiple priorities preferred

- Additional Qualifications:
· Must successfully pass a background check, including criminal record, driving record, abuse/neglect screening, and fingerprint check
· Valid driver's license, acceptable driving record, and current auto insurance required
· Demonstrated attention to detail and commitment to accuracy
· Ability to maintain confidentiality and appropriately handle sensitive information
· Strong verbal and written communication skills
· Ability to work effectively with individuals from diverse backgrounds
· Excellent organizational, time management, and relationship-building skills
· Ability to adapt to changing priorities in a fast-paced environment

- Physical Requirements
· Perform sedentary work involving exertion of up to 10 pounds of force occasionally and/or negligible force frequently to move objects
· Complete repetitive hand, finger, and arm movements associated with typing, data entry, and written communication
· Remain seated for extended periods with occasional standing and walking as needed throughout the workday
