What this job involves:
The Facilities Planner/Scheduler plays a critical role in keeping our buildings, equipment, utilities, and site infrastructure safe, reliable, and fully operational. In this position, you will coordinate, plan, and schedule preventive, corrective, and project-related maintenance work across the portfolio. What your day-to-day will look like:
- Plan and schedule preventive maintenance, corrective maintenance, inspections, repairs, and minor facility projects.
- Review incoming work requests to verify scope, priority, labor requirements, materials, permits, safety needs, and estimated duration.
- Build daily, weekly, and long-range maintenance schedules using a computerized maintenance management system (CMMS).
- Coordinate technician availability, contractor schedules, building access, shutdown windows, and occupant communications.
- Create work orders, job plans, task lists, labor estimates, parts lists, and standard procedures for recurring work.
- Partner with procurement and storeroom personnel to ensure required parts, tools, equipment, and services are available before work begins.
- Monitor backlog, schedule compliance, preventive-maintenance completion, work-order aging, labor utilization, and maintenance KPIs.
- Adjust schedules for emergency repairs and changing operational priorities while minimizing disruption to occupants and business operations.
- Maintain accurate records for work performed asset history, inspections, permits, warranties, and contractor documentation.
Required qualifications:
- High school diploma or GED.
- 3+ years of experience in facilities maintenance, maintenance planning, scheduling, building operations, construction coordination, or a related role.
- Practical experience using a CMMS, such as Maximo, Corrigo, or similar software.
- Working knowledge of building systems, including HVAC, plumbing, electrical, life safety, general building maintenance, and utility systems.
- Strong organizational, scheduling, prioritization, and attention-to-detail skills.
- Ability to interpret work orders, technical manuals, blueprints, equipment documentation, and basic project schedules.
- Proficiency with Microsoft Excel, Outlook, Word, and scheduling or reporting tools.
- Clear written and verbal communication skills with the ability to coordinate across technicians, vendors, managers, and building occupants.
Preferred qualifications:
- Associate’s or bachelor’s degree in facilities management, construction management, engineering, business, or a related field.
- Certified Maintenance & Reliability Professional (CMRP), Certified Facility Manager (CFM), Facilities Management Professional (FMP), or similar certification.
- Experience working in a regulated, critical, campus, healthcare, manufacturing, government, education, or multi-site environment.
- Familiarity with preventive-maintenance strategies, asset management, inventory control, contractor management, and basic budgeting.
- Hands-on experience with project-management tools or specialized scheduling platforms.
Core Competencies:
- Coordinating schedules, workflows, and resource allocation while managing CMMS work orders and preventive maintenance to maximize asset reliability.
- Coordinating external contractors and delivering high-quality customer service through proactive stakeholder communication.
- Analyzing operational data and tracking KPIs to drive performance while ensuring strict adherence to safety regulations and compliance standards.
Work Conditions:
- Split between the office and active physical sites (mechanical rooms, rooftops, construction zones), requiring safety awareness and occasional after-hours or emergency responsiveness.
- Accountable for reducing work-order backlogs, delivering maintenance on time, and ensuring highly accurate estimates for labor, materials, and job duration.
- Focused on minimizing equipment downtime and repeat repairs while maintaining high levels of internal customer and stakeholder satisfaction.
Schedule: Monday through Friday 1st Shift/Morning Shift
This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
Expected compensation for this position:
80,400.00 – 90,000.00 USD per year
Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
