Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m.

Sound Investment AV is seeking an organized, dependable Sales & Office Coordinator to support our sales team and keep our office clean, stocked, and running smoothly. This role combines hands-on office responsibilities, light HR administration, and sales support, with a strong focus on keeping information in our company CRM complete, accurate, and current.

Responsibilities

Sales Support & Our Company CRM

- Review and audit deals in our company CRM for missing, incomplete, or incorrect information.
- Confirm that required deal fields, contact information, event details, and supporting documents are populated and accurate.
- Follow up with sales team members to obtain missing information and resolve discrepancies.
- Update records and assist with administrative tasks to help the sales team stay organized.

Office Coordination

- Answer incoming calls, assist callers, and route inquiries to the appropriate team member.
- Greet visitors, coordinate building access, and assist with arrivals and departures.
- Perform routine office cleaning, including sweeping, mopping, wiping surfaces, emptying trash, and keeping shared areas tidy.
- Monitor and replenish office, kitchen, and cleaning supplies.
- Receive deliveries and help maintain an organized office.

Employee Support & Light HR Administration

- Maintain the employee contact sheet, adding new hires and keeping existing information current.
- Assist with basic onboarding coordination and other light HR administrative tasks.
- Manage company apparel inventory, track sizes and quantities, and coordinate replenishment.
- Distribute apparel to new hires and fulfill employee apparel requests.
- Help plan and coordinate employee recognition events, staff celebrations, and team gatherings as needed.
- Handle employee information with discretion and confidentiality.

Qualifications

- Strong attention to detail and consistent follow-through.
- Clear, professional phone and written communication.
- Comfortable working with CRM software, spreadsheets, and email; previous experience with HubSpot preferred.
- Able to manage daily responsibilities independently and shift between office tasks, employee support, and sales administration.
- Willing to perform hands-on cleaning and stocking as a regular part of the position.
- Prior office administration, customer service, or sales support experience preferred.

This position requires consistent on-site attendance Monday through Friday, from 9:00 a.m. to 5:00 p.m.
