About this role
The Payroll Specialist is responsible for processing accurate and timely payroll for multiple business units across various states. This role ensures compliance with applicable wage and hour laws, coordinates with HR and Finance teams, and serves as a subject matter expert in payroll policies and practices. The Payroll Specialist also manages system inputs, audits payroll data, reconciles reports, and supports employees with payroll-related inquiries.
- Processes end-to-end payroll on a bi-weekly or semi-monthly schedule for assigned entities.
- Verifies timecards, commissions, bonuses, deductions, PTO, and tax withholdings in accordance with company policies and federal/state laws.
- Coordinates with HR and department leaders to ensure accurate employee data for new hires, terminations, promotions, and status changes.
- Audits payroll entries for accuracy and reconciles discrepancies.
- Ensures payroll tax filings and payments are completed accurately and on time.
- Responds to employee questions regarding pay, deductions, and tax forms in a professional and timely manner.
- Maintains employee payroll records and ensures confidential handling of sensitive data.
- Prepares payroll reports and supports month-end and year-end close processes.
- Assists in preparing W-2s and other year-end tax documentation.
- Collaborates with Payroll Analysts and Finance to ensure data consistency and resolve discrepancies.
Participates in audits, policy updates, and process improvement projects as needed
Qualifications
Education
- Associates or Bachelors degree in accounting, business, or a related field is preferred.
Experience
- 3+ years of payroll processing experience is required.
- Experience with multi-state payroll and payroll tax reporting is strongly preferred.
- Experience using payroll software such as iSolved, Paycom, or similar is required.
- Proficient in Excel (VLOOKUP, pivot tables, formulas) and payroll software (e.g., iSolved, Paycom).
Licenses/Certifications
- FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) is a plus.
