# Position Summary
Provide administrative support to the Executive Director of the Sever Institute. These duties include coordinating office functions, schedules, and providing administrative services with minimum supervision.

Job Description

Primary Duties & Responsibilities:

- Provide administrative support for Executive Director including managing calendar, meeting coordination, handling correspondence, preparing materials for meetings and working on special projects.
- Respond to needs of students and visitors in a timely and independent manner. Answer phones, route calls, and take messages. Distribute mail and prepare outgoing mail. Order office and coffee supplies, tracking inventory needs and ensuring needs are met with a fiscally responsible mindset.
- Assist department team members to plan and deliver student services and programming to support student recruitment, faculty training, retention and graduation initiatives, including new student orientation, roundtables and career-centered events.
- Provide Administrative support to Sever Institute, assisting with department events, coordinate meetings, respond to inquiries and other duties as requested.
- Establish and maintain the alumni database for all Sever programs to support all alumni-based activities.
- Responsible for managing classroom scheduling and availability for Sever Institute managed classrooms and labs. Assist Asst. Director of Academic and Student Affairs with special classroom assignments (i.e., non-pooled classroom requests)
- .Responsible for contacting appropriate parties to address issues related to IT, phone, office equipment support, service calls, etc. and seeing these issues through to resolution.
- Order and/or prepare academic material requirements for Program Directors and adjunct faculty for course needs Coordinate student meetings, communications and exam proctoring for Program Directors and adjunct faculty.
- Perform other duties as assigned

Working Conditions:
Job Location/Working Conditions:

- Normal office environment.
- Ability to travel to various on- and off-campus locations.
- Position hours are Monday through Thursday 9:30a to 6:00p with a one hour lunch break.  Friday options are8a to 4:30p or 8:30a to 5:00p.
- Physical ability would include being able to lift/move at least 25 lbs.
- Duties may require errands off-campus, so transportation or access to transportation is essential.

Physical Effort:

- Repetitive wrist, hand or finger movement
- Occasional lifting (25 lbs. or less)
