Job Description:

Highly organized, hands-on, to support the day-to-day operations of our R&D center.

The role combines R&D procurement, logistics, office administration, and operational support for our engineering and development teams. The position is a key focal point for ensuring that equipment, materials, suppliers, shipments, and administrative activities are managed efficiently and that the R&D teams have what they need to operate effectively.

The ideal candidate is proactive, service-oriented, highly organized, and comfortable managing multiple priorities in a fast-paced technology and R&D environment.

Key Responsibilities

- Manage day-to-day administrative and operational activities of the R&D center.
- Coordinate procurement of equipment, components, materials, tools, and services required by the R&D teams.
- Create and track purchase requests and purchase orders through completion.
- Work closely with suppliers, subcontractors, and external service providers.
- Obtain quotations, coordinate orders, and follow up on deliveries.
- Coordinate domestic and international shipments of equipment, prototypes, and materials.
- Support import/export activities and work with freight forwarders and customs agents as required.
- Track procurement and logistics activities and proactively resolve delays or issues.
- Provide operational and administrative support to Engineering and R&D teams.
- Coordinate office supplies, services, and general office administration.
- Maintain organized records of orders, suppliers, shipments, and related documentation.
- Coordinate with Finance, Procurement, HR, Facilities, and other internal functions as needed.
- Support meetings, visitors, team activities, and other R&D center operational needs.
- Drive operational tasks and follow them through to completion.

Qualifications

- Previous experience in an administrative, operations, procurement, or coordination role.
- Experience with procurement, purchase orders, suppliers, and delivery tracking.
- Strong organizational skills and ability to manage multiple tasks and priorities simultaneously.
- High level of personal responsibility, independence, and ownership.
- Ability to proactively drive activities through completion.
- Strong interpersonal and service-oriented approach.
- Ability to work effectively with suppliers, subcontractors, and internal stakeholders.
- Good command of English, both written and spoken.
- Good proficiency with Microsoft Office, particularly Excel.
- Ability to work effectively in a dynamic, fast-paced environment.

Preferred Qualifications

- Experience supporting an R&D, engineering, industrial, or technology organization – a strong advantage.
- Experience working in a startup or similarly fast-paced environment – an advantage.
- Experience with shipping, import/export processes, freight forwarders, and customs agents – an advantage.
- Experience with ERP, procurement, or purchase-order systems – an advantage.
