About this role

Job Summary

This position works collaboratively with and reports directly to the Site Manager and is responsible for assisting the Site Manager with the day-to-day operations of multiple provider clinics in one or more specialties to include issues regarding site maintenance, staffing, equipment/supply needs, and patient service delivery. In addition, this position may fill in as needed for the Site Manager during their absence and in emergent situations, respond to provider/staff questions, requests, concerns, etc. after established business hours.

Responsibilities (include, but not limited to)

- Assists the Site Manager with daily staffing and timecard management of.

- Participates in the selection process of the front office staff.

- Supervises the Site Hospitality Coordinator

- Receives and appropriately/timely responds to patient issues / concerns as they relate to patient registration.

- Serves as the designated contact for issues regarding facility, space needs and front office operations

- Participates in performance evaluations and the completion of competency checklists as required and in collaboration with the Site Manager and Human Resources and addresses disciplinary issues in a timely and consistent manner for all direct reports

- Accurately maintains time and attendance records on all direct reports and as directed by the Site Manager – keeps overtime usage to a minimum

- Ensures facility maintenance/housekeeping / safety issues are addressed, resolved and communicated as needed.

- In conjunction with the Site Manager, conducts regular huddles and monthly meetings with direct reports regarding company updates, clinic process flow changes, and policy/procedure revisions/additions

- Ensures compliance with all established HMA policies and procedures, (e.g. Human Resources, Operations, Compliance, etc.)

- Ensures supply and equipment inventory are maintained for each clinic by coordinating with the internal purchasing department to place orders and confirm receipt of goods delivered

- Attends required leadership development / training

- All other duties as assigned by the Site Manager

- This position has no direct reports.

Qualifications

Knowledge, Skills, and Abilities

- Leadership and organizational skills

- Familiar with Practice Management (PM) software

- Excellent communication (oral and written) skills

- Demonstrated proficiency with Microsoft Office products (Excel, Word, PowerPoint)

- General understanding of the overall operations of a medical practice organization

- Ability to multitask in a fast-paced work environment subject to change

- Ability to collaborate cross-departmentally and effectively interface with all levels of employees – staff, senior leaders, and providers.

Job Requirements

- Associate’s Degree in business, or related field of study from an accredited college or university required

- Minimum of (2) years prior physician practice experience required

Physical Demands and Work Environment

- Must be able to stand for 8 to 10 hours a day

- Requires regular walking, bending, pushing, pulling and lifting

- Must be able to lift at least 25lbs

- Must exhibit good communication skills—understand, respond and translate into action

- Ability to delineate between numeric numbers

- Clinical setting; exposure to communicable diseases, bloodborne pathogens, medical preparations and other conditions common to a clinical environment.
