Type: Non-Residential or Residential Reports to: Director of Pre-College Programs Multiple shifts will be hired for this position. ​

Job Description:

The Pre-College Head of Operations oversees all office and internal logistics of Pre-College programming and develops structured and efficient processes to ensure program success. Leading a team of program assistants, the Head of Operations manages the Vanderbilt Pre-College Summer Office which serves as the central hub for all internal and external program communication, inventory control, student medication processes and transportation scheduling. Serving as the initial point of contact for parent concerns and questions, the Head of Operations’s team will demonstrate elite customer service leading to efficient response and resolution metrics. This is a non-residential position that requires flexible weekend hours on Check-in/Check-out Days and during the weekends of program operation.

Expectations:

Within their wide array of duties and responsibilities, the Pre-College Head of Operations is expected to:

- Possess strong organizational and communication skills along with proven problem-solving abilities.
- Design efficient operations and workflow strategies in a rapidly changing and fast-paced residential program.
- Supervise and lead a vibrant Pre-College office that serves as the central hub for scheduling, record keeping, documentation of confidential information and program logistics.
- Be highly mature and able to assist with the management of a residential community of a summer academic program for teens.
- Engage willingly as a team player with humor, enthusiasm and a compassionate understanding of middle and high school students.
- Enthusiastically adapt and pivot as needed to ensure optimal, engaging, and safe student experiences.
- Be present and available throughout Vanderbilt Pre-College.
- Work closely with other leadership team members to accomplish program goals and address problems in a timely manner.
- Design and implement role specific training for Program Assistants.
- Serve as support, guide, and resource to program assistants in all aspects of their multifaceted roles.
- Exemplify Vanderbilt Pre-College’s purpose, identify and communicate the cornerstones of a respectful residential and academic community and serve as a role model for all staff and students.
- Uphold and enforce all program and University rules as outlined in staff and student handbooks.
- Thrive in a fast-paced, demanding work environment that requires continuing flexibility, a positive and caring attitude, and collaboration.
- Adhere to PTY’s policies related to confidentiality.
- Perform other related duties as assigned.

Requirements

The ideal candidate will:

- Possess a bachelor’s degree, be a current graduate student, or a professional.
- Have experience managing a successful and diverse team.
- Possess cultural sensitivity awareness and a commitment to diversity, equity, and inclusion.
- Have experience in a complex office setting or in a setting requiring diverse logistics implementation.
- Demonstrate exceptional maturity and character.
- Have experience communicating with parents or key stakeholders of an organization.
- Be able to successfully and positively communicate with individuals of all ages, experiences, and roles.
- Successfully pass the Vanderbilt University criminal background check and online training for working with minors.
- Agree to adhere to all duties before, during, and after the program as outlined in the staff materials.
- Must be able to traverse distances of at least one mile, including stairs, with or without accommodation.
- Must be able to lift and/or maneuver at least 40 lbs. with or without accommodation.

Benefits

Compensation:

$22.00/hr

Program Dates and Times:*

- Limited Spring hours may be available

- Shifts: The standard day lead weekday shift is 7:00AM-3:30PM. Weekend hours will vary.
- The standard swing lead weekday shift is 11:00AM-7:30PM. Weekend hours will vary.
- The standard night lead weekday shift is 3:00pm-11:00pm. Weekend hours will vary.
- The standard overnight lead weekday shift is 10:45pm-7:15am.
