Facilities Meeting Coordinator
TerraPower is seeking a highly skilled and motivated Meeting Coordinator to support daily meeting logistics, corporate events, administrative operations, and cross‑campus coordination. This role ensures seamless execution of on‑site and off‑site meetings, supports company‑wide engagement events, manages key administrative calendars, and collaborates with teams across Facilities, Administration, AV, Construction, and Executive Support.
The ideal candidate is exceptionally organized, detail‑driven, and comfortable managing multiple priorities while delivering high‑quality service.
Key Responsibilities
- Coordinate, schedule, and manage logistics for on-site and off-site meetings and events.
• Ensure all meeting and event requirements are captured and executed using the Meeting Request Form.
• Support corporate events including company lunches, Movie Nights, Brewery events, and other employee engagement activities across multiple campuses.
• Assist with planning and logistics for corporate-wide events, including swag coordination and distribution.
• Maintain conference room schedules
• Partner with the audio & visual support team to update and maintain Confluence pages.
• Oversee and update the Administrative and Executive Team Calendars.
• Respond to and manage Jira tickets related to administrative and Facilities needs.
• Assist with lunch expense reporting and reconciliation in Concur.
• Provide backup coverage for Front Desk Access & Hospitality operations.
• Perform general administrative support and special projects as assigned.
• Strong ability to wear multiple hats and support multiple locations at any time.
Key Qualifications and Skills
- 5 years of experience in customer service, management and hospitality
- 5 years of experience with event coordination
- High proficiency in coordinating logistics
- Flexible with the ability to work well with diverse personalities
- Respond promptly and professionally to unsatisfied or frustrated customers, ensuring concerns are resolved with effective communication and follow‑through
- Skilled in using various video conference tools, such as Teams and WebEx
- High proficiency in oral and written communication
- High proficiency in Microsoft Word suite
- Grammatical editing and proof-reading skills
- Organizational skills
- Exceptional attention to detail
- Ability to problem solve and multitask

Salary Range: $72,138 - $93,686
Any salary offered within the posted salary band is based on market data and commensurate with the selected individual’s qualifications experience. This range is specific to Washington State.
