About the Role
Order.co is hiring its first Executive Assistant, a highly trusted partner to our CEO, Zach Garippa, and one of the most leveraged roles in the company. Reporting to the Chief of Staff and working with the CEO every day, you will help our founder and CEO operate at his highest level by protecting his focus, creating clarity amid complexity, and ensuring the right things happen at the right time. This is not a traditional administrative role. It's a role for someone who thrives at the center of a fast-growing business, exercises exceptional judgment, and enjoys turning complexity into momentum.
Zach is personable, curious, incredibly fast-moving, and fully willing to commit to the bit (ask him how we got the Mahalo Hand). The right person will enjoy that energy, know when to match it, and confidently bring order to the chaos, including telling very senior people, “Not today.”
Zach runs at a distinctive pace: he is often up and working early, usually with a Celsius nearby, and brings the same commitment to Solidcore several times a week. He is deeply invested in the people around him and tends to blur the line between colleague and community - in the best way. As in: you may find yourself invited to one of his kids’ birthday parties! You are not expected to adopt his wake-up time, but you should enjoy the energy, candor, and humanity that come with supporting him.

Why this Role
You'll join Order.co at an inflection point.
We are entering a new chapter of growth, and you'll work directly alongside our CEO and Chief of Staff to help shape how we operate at scale.
The right person won't simply manage a calendar. They'll become a trusted extension of the CEO's judgment, priorities, and operating style.
You'll have a front-row seat to leadership decisions, Board conversations, company strategy, executive hiring, investor relationships, and the day-to-day realities of building a category-defining business.
What You’ll Do
Protect the CEO’s time + attention
- Serve as the CEO's air traffic controller and force multiplier. Protect his most valuable resources, time, attention, and energy, and ensure they are invested where they create the greatest impact. Use judgment, not just scheduling logic. Prioritize based on company goals, strategic importance, and business outcomes rather than who asked first.
- Stay two steps ahead. Anticipate conflicts, prep, follow-ups, travel needs, and potential issues before they become actual issues.
Make meetings + travel work
- Make meetings earn their place. Ensure agendas and pre-reads reach the CEO at least 24 hours ahead; move or cancel meetings when they do not. Capture decisions and close follow-ups.
- Own travel + logistics. Coordinate domestic and international travel end to end, including itineraries, accommodations, transportation, and inevitable last-minute changes.
Help coordinate the operating rhythm
- Keep the operating rhythm humming. In partnership with the Chief of Staff, help orchestrate the operating cadence of the company. Ensure key leadership forums, business reviews, Board meetings, All Hands meetings, and offsites are well prepared and decisions are documented.
- Coordinate quarterly Board meetings. Play calendar Jenga across busy Board members, then partner with the Office Manager on the room, coffee, food, and other meeting needs.
- Be a trusted connector. Coordinate across the CEO, employees, executives, Board members, investors, customers, candidates, and external partners.
Operationalize kindness + connection
- Operationalize kindness. Turn good intentions into thoughtful action: recognize a job well done, remember the right bottle of wine when an investor closes a fund, send an Order.co onesie when an advisor has a baby, and notice what makes people feel cared for.
Close loops + improve the system
- Close loops and own the details. Track commitments, decisions, action items, expenses, documents, reservations, events, and occasional personal logistics with discretion.
- Improve the system. Build stronger processes and use modern tools, automation, and AI; jump into special projects that create leverage for the CEO or Chief of Staff.
What We’re Looking For
- Must be based in New York City and able to work from the office at least four days per week, optimizing for overlap with Zach’s in-office schedule.
- 5+ years supporting a CEO, founder, or C-suite executive; experience in a high-growth, PE/VC-backed technology company - or an equally fast, complex environment - is strongly preferred
- Exceptional judgment and prioritization; you understand the why behind the calendar, not just the where and when
- A proven ability to anticipate needs, operate independently, solve problems without a playbook, and sweat the details without losing the bigger picture
- Polished, warm, and crystal-clear communication with senior executives, Board members, investors, customers, candidates, and partners
- Calm, resourceful, and discreet when the plan changes at the eleventh hour - because it will
- High EQ, strong hospitality instincts, and the backbone to ask questions or respectfully tell very senior people, “Not right now”
- Low ego, high ownership, a healthy sense of humor, and strong command of Google Workspace, Slack, Zoom, automation, and AI tools

Six months in, you will:
- Be viewed as a trusted extension of the CEO's office.
- Understand Zach's priorities well enough to proactively shape his schedule rather than simply manage it.
- Create meaningful leverage by reducing administrative drag and increasing focus on the company's highest-priority initiatives.
- Build credibility with executives, Board members, investors, customers, and external partners.
- Consistently hear: "I don't need to worry about that. You've got it."
