Key Responsibilities:

- Serve as the dedicated point of contact for all guests, travel agents, and third parties from pre-arrival through departure.

- Proactively reach out to guests prior to arrival to confirm details, answer questions, and ensure all required information, payments, and documents are complete.

- Collect and record arrival times, celebration details, and preferences.

- Identify key Evermore guest personas to create personalized, seamless, and memorable experiences.

- Provide tailored recommendations based on guest needs, preferences, or special occasions.

- Assist guests with advance booking of transportation, cabanas, activities, dining, add-ons, and special arrangements.

- Coordinate with internal departments (Front Office, Housekeeping, Recreation, Transportation, Sales, and Leadership) to guarantee all requests are actioned and each guest's arrival is fully prepared.

- Identify potential guest issues in advance and proactively resolve or escalate them appropriately.

- Based on guest preferences and when applicable, ensure a small, thoughtful welcome amenity is provided upon arrival.

- On arrival, warmly and confidently introduce themselves as the guest's dedicated Host, establishing presence.

- Using PIN activation notification, greet the guest at their unit within 15 minutes of them entering their accommodation. This interaction is to establish trust, ease, and emotional tone quickly.

- When appropriate, create one mid-stay "surprise and delight" and one intentional closing moment on the final night. The gestures will align with how each guest used Evermore and will never be performative or branded.

- Schedule daily time to roam the Landing and Evermore Bay Promenade to be available to in-house guests.

- Continuously read guest cues and adjust service levels behind the scenes, honoring privacy while remaining highly responsive.

- Listen and understand guests to elevate meaningful feedback and resolve friction.

- Manage guest concerns with empathy, clarity, and solution-forward communication, using de-escalation and objection-handling skills to address policy questions or frustrations.

- Maintain a professional, empathetic, and service-forward tone across all communication channels (phone, email, SMS, CRM platforms).

- Document interactions, notable preferences, and feedback thoroughly in the CRM to support future stays and continuity of service.

- Provide a complete hand-off to a designated team member before days off or shift end, so every guest always has a point of contact.

- Uphold brand standards, privacy regulations, and property security protocols.

- Adhere to property and company policies and procedures.

Education, Skills, and Experience:

- High school diploma or equivalent.

- Must have at least 3 years of experience in a guest-facing role; preferably in a luxury hotel/resort setting.

- Experience with large-scale resort, vacation rental, or multi-unit properties preferred.

- Knowledge of pre-arrival processes, front office operations, or concierge services.

- Must possess and demonstrate excellent interpersonal and communication skills, both written and verbal.

- Ability to speak, read, write, and comprehend the English language at a level sufficient to communicate effectively with guests, travel agents, and team members.

- The ability to speak or read in Portuguese or Spanish is highly desirable.

- Comfort with guest-facing technology, messaging platforms, CRM systems, PMS platforms, and hospitality software, including email, web browsing, and scheduling software.

- Good typing skills (45 wpm or better).

- Must exercise a keen attention to detail, with strong problem-solving skills and a genuine care for people.

- Strong organizational and time-management skills, with the ability to multitask and prioritize in fast-paced environments.

- Capable of working scheduled hours, including weekdays, weekends, nights, and holidays.

Physical Requirements:

- Able to safely lift, pull, and push up to 50 pounds.

- Ability to work outside, walking, interacting with guests, for up to an entire 8-hour shift.

- Must have a valid driver's license, clean driving record, and ability to drive all Guest Experience vehicles.

- Able to stand, walk, stoop, kneel, bend, and reach for at least 8 hours per day.

- Able to sit and use the computer for hours at a time.

- Visually look at a computer for extended periods.

- Subject to environmental conditions; work activities can occur inside and outside.

- Repetitive hand motions, such as typing.
