About this role
Responsible for supporting the daily operations of the Salon while ensuring a consistently exceptional member and guest experience aligned with East Bank Club's Service Essentials and Standards, and commitment to hospitality excellence. The Salon Coordinator assists the Manager and Director in maintaining an organized, efficient, and service-focused environment while supporting Salon Receptionists, addressing member needs, and ensuring operational consistency.
Key responsibilities include daily operational coordination, reception team support, member/client service, retail and backbar ordering, inventory management, billing accuracy, and administrative functions. Strong communication, organization, responsiveness, attention to detail, and follow-through are essential to success in this position. The Salon Coordinator is also responsible for performing all duties of the Salon Receptionist as operational needs require.
Pay Rate: $23.00 per hours.
Anticipated Schedule: Full time,Tuesday-Saturday, flexibility required
KEY RESPONSIBILITIES
Leadership & Team Support
- Provide daily operational guidance and coaching to Salon Receptionists, reinforcing departmental policies, procedures, and performance expectations.
- Assist with onboarding and training Salon Receptionists, including service standards, professional appearance, communication, telephone etiquette, and operational procedures.
- Facilitate daily team huddles to communicate operational updates, service priorities, and departmental expectations.
- Identify staff performance concerns and opportunities for improvement, providing feedback and escalating matters to the Manager/Director as appropriate.
- Foster a positive, collaborative, and accountable team environment through effective communication, teamwork, and professionalism.
Daily Operations & Facility Standards
- Coordinate daily Salon operations, ensuring an organized, efficient, and service-focused environment.
- Conduct daily walk-throughs of reception, service stations, backbar, storage, and common areas to ensure cleanliness, organization, operational readiness, and compliance with EBC Service Standards.
- Monitor opening, mid-day, and closing procedures to ensure operational consistency and readiness.
- Identify equipment, facility, and maintenance needs; initiate service requests and follow through to ensure timely resolution.
- Support the Manager/Director in identifying and implementing improvements to daily operational procedures and efficiency.
Service Excellence & Member Relations
- Model and reinforce EBC Service Standards, and established Salon service expectations through all member and guest interactions.
- Address member and guest inquiries, service concerns, and challenges promptly and professionally, escalating matters to the Manager/Director when appropriate.
- Proactively identify opportunities to personalize service, anticipate member needs, and create memorable WOW experiences.
- Maintain thorough knowledge of Salon services, pricing, promotions, retail products, and Club offerings to effectively assist members and guests.
- Monitor the overall member experience and communicate opportunities to improve service consistency, responsiveness, and satisfaction.
Administrative, Retail & Inventory Responsibilities
- Prepare, update, communicate, and post Salon Receptionist schedules, ensuring appropriate coverage based on business demands.
- Coordinate retail and backbar product ordering, receiving, stocking, and inventory management, maintaining accurate records, appropriate inventory levels, and cost-conscious purchasing practices.
- Assist with retail merchandising, product presentation, and promotional initiatives to support retail sales.
- Review daily revenue reports, verify transaction accuracy, and communicate discrepancies to the Manager/Director.
- Coordinate and manage Salon passes, ensuring accurate documentation, tracking, and processing.
- Monitor client billing for accuracy and assist with resolving discrepancies, refunds, and other transaction-related concerns within established guidelines.
- Maintain accurate departmental records, communication postings, operational documentation, and administrative reports.
- Assist the Manager/Director with monitoring service trends, retail performance, and other departmental business metrics.
Training, Education & Department Development
- Coordinate service provider education, technical training, product knowledge sessions, and continuing education opportunities as requested by the Manager/Director.
- Stay informed of emerging Salon services, industry trends, and retail products, sharing recommendations for potential service and product enhancements.
- Assist with the implementation of new services, products, promotions, and departmental initiatives as directed by the Manager/Director.
Additional Responsibilities
- Perform all duties and responsibilities of the Salon Receptionist as operational needs require.
- Provide administrative and operational support to the Manager/Director, including special projects as assigned.
- Perform other duties as assigned by the Manager/Director, COO, or Senior Leadership.

Requirements

Preferred
- Experience in a spa, salon, hospitality, or service-focused environment.
PHYSICAL REQUIREMENTS
- Standing and walking for extended periods throughout operational areas.
- Frequent bending, reaching, lifting, and movement throughout the department.
- Occasional need to use a ladder for stock/inventory needs.
- Ability to lift up to 25 pounds.
