Job Title: Office Assistant Job Description
The Office Assistant supports daily operations in a large, fast-paced Tampa office environment. This role serves as the primary front-of-house presence and delivers administrative and operational support to ensure a professional, organized, and welcoming setting that is always ready to accommodate frequent meetings, visitors, and employee activities. The position offers meaningful opportunities to grow through hands-on experience, mentorship, and increasing responsibility within office operations.
Responsibilities
- Serve as the first point of contact for visitors, employees, and guests, managing front-of-office communications and visitor access while maintaining a professional and welcoming environment.
- Receive deliveries and coordinate on-site access needs to ensure smooth and timely handling of incoming items.
- Coordinate logistics for meetings, events, and gatherings, including scheduling, room reservations, and ensuring spaces are prepared and equipped.
- Support food, supply, and equipment needs for meetings and events, including ordering, setup, and basic coordination with vendors as needed.
- Ensure shared spaces such as conference rooms, reception areas, and common areas remain clean, stocked, and ready for daily use.
- Provide general administrative coordination, including maintaining records, tracking documentation, and organizing files.
- Support system updates and help maintain accuracy in administrative processes and office records.
- Assist with purchasing, shipping, and inventory tracking, including preparing and submitting related expense documentation.
- Support office safety, compliance, and overall office readiness by following established procedures and helping identify areas for improvement.
- Assist with planning and executing employee engagement initiatives and events to foster a positive and connected workplace culture.
- Collaborate closely with office leadership, employee engagement committees, facilities teams, and external vendors to support daily operations and special initiatives.
Essential Skills
- 13 years of experience in an administrative, office support, or operations support role, including internships or relevant part-time experience.
- Strong organizational and prioritization skills with the ability to manage multiple responsibilities simultaneously.
- Professional verbal and written communication skills, with a focus on clear, courteous, and timely communication.
- Proficiency in Microsoft Word, Outlook, and basic Excel, with a willingness to continue developing technical skills.
- Ability to handle confidential information with discretion, integrity, and professionalism.
- Proactive, observant, and solutions-oriented approach with openness to feedback and a strong desire to learn.
- Customer service mindset with the ability to create a positive experience for visitors, employees, and guests.
- Solid administrative support and clerical skills, including documentation, recordkeeping, and basic office procedures.
Additional Skills & Qualifications
- Associate degree or an equivalent combination of education and experience.
- Experience working in a large, fast-paced, or professional services office environment.
- Experience supporting meetings, events, or office operations and logistics.
- Familiarity with collaboration and document management tools such as Microsoft Teams, SharePoint, and shared drives.
- Interest in growing into more senior administrative or office operations roles as responsibilities expand.
- Comfort working both independently and collaboratively with cross-functional teams.
Work Environment
This role is based in a large, highly active Tampa office that hosts frequent meetings, visitors, and employee activities. The Office Assistant reports to office leadership and the administrative team and works closely with office leadership, employee engagement committees, facilities teams, and external vendors. The environment is fast-paced and professional, with a strong focus on organization, responsiveness, and high-quality service. The office relies on tools such as Microsoft Office (Word, Outlook, Excel) and collaboration platforms like Teams, SharePoint, and shared drives to coordinate work, manage documents, and support daily operations. Job Type & Location
This is a Contract to Hire position based out of Tampa, FL.
Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
