Job Title: Facilities Project Manager Job Description
This role oversees a dynamic portfolio of facilities and infrastructure projects across multiple sites, with a focus on laboratory, manufacturing, and technical environments. The Facilities Project Manager will take ownership of projects already in progress, while also leading new work from planning and budgeting through procurement, permitting, scheduling, execution, and closeout. The position supports a wide range of improvements, including utilities and power installations, HVAC and exhaust modifications, plumbing and data infrastructure upgrades, warehouse enhancements, and specialized equipment installations. The successful candidate will provide steady project ownership during an account transition and help ensure an organized handoff of active work.
Responsibilities
- Take full ownership of an active portfolio of facilities projects across multiple sites and ensure consistent progress from initiation through completion.
- Review and organize existing project documentation, including work orders, proposals, estimates, purchase orders, schedules, dependencies, and outstanding action items.
- Manage projects end to end, from scope development and bidding through approval, procurement, construction, turnover, and closeout.
- Conduct scope and bid walks with stakeholders, contractors, engineers, and vendors to clarify requirements and develop detailed scopes of work.
- Develop and coordinate competitive proposals, ensuring clear deliverables, timelines, and cost structures.
- Oversee projects involving electrical systems, plumbing, HVAC and exhaust, data infrastructure, compressed air, laboratory infrastructure, equipment installation, seismic anchoring, and interior improvements.
- Coordinate the work of general contractors, specialty vendors, architects, engineers, facilities teams, finance partners, and business stakeholders to keep projects aligned and on schedule.
- Track and manage budgets, cost centers, purchase requisitions, purchase orders, capital-expense approvals, and change orders.
- Coordinate permitting and inspections with local jurisdictions, as well as engineering reviews, CAD documentation, equipment cut sheets, and other technical project requirements.
- Identify operational constraints, blockers, dependencies, schedule risks, and key decisions required to keep work moving forward.
- Plan and sequence work to minimize disruption to laboratory, manufacturing, warehouse, and broader business operations, carefully managing downtime and operational impacts.
- Maintain accurate project trackers and provide concise, regular updates on status, next steps, ownership, costs, risks, and projected completion dates.
- Support an organized and thorough handoff of active projects during the facilities account transition, ensuring continuity for stakeholders and new management.
- Work onsite and travel between assigned local facilities as project needs require, maintaining a strong presence in the field.
- Drive projects forward with limited oversight by proactively removing blockers and maintaining strong follow-through on commitments.
Essential Skills
- Proven experience managing facilities, construction, infrastructure, or workplace projects in active commercial, manufacturing, laboratory, biotechnology, medical-device, or technical environments.
- Strong understanding of project scoping, estimating, procurement, scheduling, construction coordination, turnover, and closeout processes.
- Demonstrated experience coordinating general contractors and specialty vendors across multiple trades.
- Ability to manage multiple projects simultaneously at different stages of completion while maintaining quality and schedule.
- Working knowledge of budgets, cost centers, proposals, purchase orders, change orders, and capital versus operating expenses.
- Ability to interpret and work from floor plans, equipment layouts, cut sheets, specifications, and basic construction documentation.
- Hands-on project management skills with the ability to quickly assess project status, establish priorities, and create structure in a fast-moving environment.
- Strong organization, documentation, and time-management skills to maintain accurate records and project trackers.
- Excellent communication and stakeholder management skills, including the ability to set expectations and provide clear updates.
- Ability to remove blockers, resolve issues, and drive projects forward with limited oversight.
- Comfort working onsite and traveling between local facilities as required by project demands.
- Proficiency with project management and coordination tools, including Microsoft Office applications.
- Experience with construction management practices, RFIs, and change order processes.
- Familiarity with CAD software such as AutoCAD for reviewing and coordinating technical drawings.
Additional Skills & Qualifications
- Experience supporting laboratory, manufacturing, engineering, or medical-device facilities.
- Familiarity with electrical, mechanical, plumbing, HVAC, data, life-safety, and seismic anchoring projects.
- Experience coordinating permits and inspections with local jurisdictions and regulatory bodies.
- Background within a corporate facilities-management or integrated facilities-management environment.
- Familiarity with computerized maintenance management or work-order systems, such as Archibus.
- Experience delivering projects in occupied environments where downtime and operational disruption must be carefully controlled.
- Construction management and design experience, including working with RFIs and design documentation.
- Ability to balance technical requirements, vendor performance, budgets, stakeholder expectations, and operational deadlines during periods of organizational change.
- Track record as a hands-on Project Manager who provides steady ownership and structure in complex, fast-paced settings.
Work Environment
The role is primarily based onsite in a commercial, laboratory, manufacturing, and technical facilities environment, with regular travel between local sites as project needs require. Work is conducted in occupied spaces where laboratory, manufacturing, warehouse, and business operations are active, and project work must be carefully planned to minimize downtime and disruption. The typical schedule follows a Monday through Friday workweek, with flexibility needed to accommodate project milestones, inspections, and contractor coordination. The environment involves collaboration with facilities teams, engineers, architects, vendors, and corporate stakeholders, using tools such as Microsoft Office, CAD software (including AutoCAD), and computerized maintenance management or work-order systems. Professional attire appropriate for a corporate facilities and construction setting is expected, including suitable clothing and footwear for visiting construction areas and technical spaces.

Pay and Benefits
The pay range for this position is $50.00 - $65.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
