POSITION SUMMARY
The Sr. Operations Manager is a multi-site operational leadership role responsible for inventory control, fulfillment execution, and process discipline across our Salt Lake City headquarters and national branch network. This role owns the material supply chain end to end, from open purchase order management and warehouse receiving through allocation and commitment of material to projects, fulfillment, cycle count integrity, and returns, and is accountable for the accuracy, availability, and velocity of material at every location.
This leader sets the standard for how material moves through the business, defines the operating procedures each branch follows, and holds the network accountable to them. Because branch personnel report through their local General Managers, success depends on leading through influence: establishing credibility with GMs and Branch Operations Coordinators, aligning them to a single operating standard, and driving adherence through data, clear expectations, and relentless follow-through rather than reporting lines.
Beyond daily execution, this role owns continuous improvement for the material supply chain, identifying bottlenecks, redesigning workflows, and driving the process and system changes that increase accuracy, shorten cycle times, and reduce cost to serve. You will partner closely with the Supply Chain Team, Project Management, Finance, and Branch Leadership to time material purchases against project-driven demand and to build a culture of measurement and accountability.
KEY RESPONSIBILITIES
Inventory Management & Branch Coordination
- Own inventory accuracy, availability, and control across all branch locations, maintaining a single source of truth for on-hand and committed stock.
- Serve as the primary operational partner to Branch Operations Coordinators, to maintain timely and efficient inventory movements from receiving, committing and fulfillment.
- Establish and enforce consistent inventory standards, naming, locations, and handling procedures so every branch operates the same way.
- Manage branch transfer orders, resolve stock imbalances, and identify slow-moving, excess, and obsolete inventory for disposition.
Warehouse Receiving, Committing & Fulfillment
- Perform daily warehouse receiving, verify inbound shipments against purchase orders, confirm quantities and condition, and ensure timely, accurate system entry.
- Manage the committing of material to projects and sales orders so that allocated stock is protected and visible to project teams.
- Maintain an organized, safe, and efficient warehouse layout that supports accurate picking and fast throughput.
Fulfillment Execution & Service Levels
- Own fulfillment performance across all locations, ensuring material is picked, staged, and delivered to install schedules complete and on time.
- Establish and publish service-level expectations for receiving, commitment, staging, and transfer turnaround, and manage the network to them.
- Sequence fulfillment against project need dates in partnership with Project Management, escalating material risk before it affects a schedule.
- Drive throughput and reduce fulfillment cycle time, handling, and rework through disciplined execution and workflow design.
Open Purchase Order Tracking & Follow-Up
- Maintain and actively manage the open PO report, tracking every order from placement through receipt and close.
- Follow up with vendors on acknowledgements, ship dates, backorders, and shortages, and escalate at-risk deliveries before they affect project schedules.
- Communicate expected arrival dates and delays proactively to project managers, branch teams, and supply chain.
- Reconcile receiving discrepancies, short shipments, damaged goods, and quantity variances with vendors and accounting.
Inventory Cycle Counts
- Lead a recurring cycle count program across all locations, including count cadence and count sheet generation.
- Analyze count results, quantify variances, document root causes, and post approved adjustments with appropriate authorization and audit trail.
- Train branch and warehouse personnel on counting procedures and accountability for inventory accuracy.
- Support annual physical inventory and provide documentation and reconciliation for internal and external audit requests.
Supply Chain Partnership & Purchase Timing
- Work closely with the Supply Chain Team to optimize the timing of material purchases, balancing project need dates, vendor lead times and price changes.
- Provide demand visibility and usage history to inform buying decisions and stocking strategy.
- Flag long-lead items early and help sequence purchases to avoid both project delays and unnecessary inventory build-up.
- Contribute to vendor performance reviews.
RMA & Returns Process Ownership
- Own the end-to-end RMA process, intake and validation of return requests, vendor RMA authorization, outbound shipping, tracking, and credit or replacement reconciliation.
- Maintain clear RMA documentation and reporting so that open returns, pending credits, and aging items are always visible.
- Drive down RMA cycle time and recover credits owed, following up persistently with vendors until items are resolved and closed.
- Analyze return reasons and partner with operations, field teams, and vendors to reduce recurring causes.
Process Adherence & Governance Across Locations
- Define the standard operating model for inventory and fulfillment, and own the documentation, training, and rollout that puts it in place at every location.
- Audit process adherence across branches, measure compliance against the standard, and work with General Managers to close gaps.
- Build governance structures that establish clear process ownership and accountability at each site, including a recurring operating review cadence.
- Lead through influence in a matrixed environment, partnering with local General Managers, whose teams do not report to this role, to align priorities and secure execution.
- Serve as the escalation point for cross-branch material conflicts, balancing competing project demands against enterprise priorities.
Process Improvement, Analytics & Team Development
- Own continuous improvement for inventory and fulfillment, applying Lean and process-redesign methods to eliminate bottlenecks, waste, rework, and non-value-added steps.
- Define and maintain the KPIs and operating scorecard for inventory and fulfillment, and build the reporting and dashboards that give leadership real-time visibility.
- Lead system enablement initiatives in NetSuite and adjacent tools, including barcode scanning, warehouse management, and automation that reduces manual effort and improves data quality.
- Coach and develop Branch Operations Coordinators and warehouse personnel, setting clear expectations and holding the team accountable to standards.
- Build bench strength and process capability across the network so performance does not depend on any single individual or location.
- Ensure compliance with company safety policies and applicable regulations in all warehouse operations.
SUCCESS METRICS
- Inventory accuracy and cycle count variance across all locations
- On-time, complete fulfillment to install schedules
- Open PO aging, on-time vendor delivery, and receiving accuracy
- Fulfillment and transfer cycle time
- RMA turnaround time and recovery of vendor credits
- Excess and obsolete inventory as a percentage of on-hand value
- Process adherence and audit results by location
- Adoption of standard procedures, dashboards, and system enhancements
