Job Title: Accounts Payable Specialist Job Description The Accounts Payable Specialist plays a key role in managing the full accounts payable cycle from vendor setup through payment processing and issue resolution. This position focuses on meaningful ownership of the AP process rather than narrow invoice entry, requiring strong end-to-end understanding of accounts payable, proactive problem-solving, and effective collaboration with purchasing, receiving, vendors, and accounting stakeholders. The role operates primarily within NetSuite and Ramp in a manufacturing-focused, three-way-match environment and supports an organization undergoing a significant ERP and accounting process evolution. Responsibilities

- Establish new vendors and collect all required documentation, including W-9 forms.
- Validate vendor payment information and ensure accuracy of vendor and payment data.
- Enter and process vendor invoices in alignment with established accounts payable workflows.
- Route invoices through appropriate approval workflows and follow up to ensure timely approvals.
- Perform three-way matching between purchase orders, receiving information, and vendor invoices.
- Investigate and resolve discrepancies involving receiving, purchasing, purchase orders, and vendor invoices.
- Work cross-functionally with purchasing and receiving teams to resolve accounts payable exceptions promptly.
- Prepare and set up vendor payments and verify that payments process successfully.
- Maintain ownership of outstanding accounts payable issues and drive them through to full resolution.
- Manage the full cycle of accounts payable activities from vendor setup through invoice processing, approvals, payment setup, and confirmation of payment completion.
- Work primarily within NetSuite and Ramp to execute daily accounts payable tasks.
- Support an accounts payable organization operating across separate processes while the business moves toward a common ERP environment.
- Identify issues within the AP process, ask appropriate questions, and proactively drive exceptions to resolution rather than allowing them to remain unresolved.
- Participate in and adapt to evolving ERP and AP automation initiatives, including use of systems such as bill.com and other ERP platforms.

Essential Skills

- Strong understanding of the complete accounts payable process, including end-to-end ownership from vendor setup through payment confirmation.
- Hands-on experience performing three-way match between purchase orders, receiving records, and vendor invoices.
- Ability to independently research and resolve discrepancies involving purchasing, receiving, and vendor invoicing.
- Proficiency working in NetSuite with minimal ramp-up time, including executing AP-related workflows and transactions.
- Demonstrated experience in full cycle accounts payable, including invoice processing, approvals, payment setup, and confirmation of successful payment processing.
- Effective communication skills for collaborating with purchasing, receiving, vendors, and accounting stakeholders.
- Strong ownership mentality with a willingness to follow issues through to completion and maintain accountability for outstanding AP problems.
- Ability to learn accounts payable systems and workflows quickly and adapt to evolving ERP environments.

Additional Skills & Qualifications

- Exposure to manufacturing accounts payable environments, particularly those utilizing three-way match processes, is preferred.
- Experience working with Ramp for payment or expense workflows is preferred.
- Familiarity with ERP systems and AP automation tools such as bill.com is beneficial.
- Experience in vendor management, including vendor setup, obtaining W-9s, validating payment information, and maintaining accurate vendor records.
- Background in purchasing and receiving collaboration to resolve invoice and purchase order mismatches.
- Interest in and adaptability to organizations undergoing ERP and accounting process evolution, including movement toward a shared-services-oriented accounting model.
