About this role

About Us

Appficiency is a global technology and professional services firm that solves complex business challenges through the intelligent application of enterprise software, automation, and AI. We're a proud Oracle NetSuite Alliance Partner; Salesforce Crest Partner; Microsoft Gold Certified Partner, and much more: our evolution has taken us well beyond a single platform, making us a multi-technology advisory and implementation partner across ERP, CRM, cloud platforms, and AI-driven solutions. What sets us apart is a "technical-first" approach, teams who understand both business logic and deep system architecture paired with a genuine belief that our people are our greatest strength, and that's who we invest in first.

The Opportunity

As a Project Coordinator I, you will provide foundational support to project and program managers — helping maintain schedules, track budgets, and coordinate stakeholder communication across active projects. This is an entry point into project delivery and PMO operations, where you'll build core coordination skills, learn Appficiency's methodology, and gain exposure to ERP/CRM project environments under close guidance from senior team members.

What You'll Do

- Support Project and Program Managers in maintaining accurate project schedules and documentation

- Assist with tracking project budgets, invoices, and basic financial reporting

- Coordinate and schedule stakeholder meetings, taking and distributing minutes

- Help monitor resource allocation across projects, flagging discrepancies to senior team members

- Support the intake process for new projects, ensuring required information is captured accurately

- Learn and apply Appficiency's PMO methodology and governance standards

- Maintain organized project documentation and templates

- Identify and escalate issues or blockers to the Project Manager or PMO lead

- Participate in process improvement discussions, contributing ideas from day-to-day coordination work

What You'll Bring

- Bachelor's degree in Business Administration, Project Management, or related field, or equivalent experience

- 1-2 years of experience in project coordination, administrative support, or operations

- Strong organizational and time-management skills, with attention to detail

- Excellent verbal and written communication skills

- A proactive, eager-to-learn attitude with a strong sense of ownership

- Ability to work well in a fast-paced environment and manage multiple priorities

- Comfort with MS Excel and basic data tracking/reporting

- Exposure to ERP, CRM, or e-commerce applications is a plus; NetSuite knowledge is a bonus

What Will Set You Apart

- A naturally organized, detail-oriented approach to managing schedules and documentation

- Comfort learning new tools and processes quickly, including PMO methodology

- Clear, professional communication with both internal teams and clients

- A proactive mindset — flagging issues early rather than waiting to be asked

- Genuine interest in growing into a project coordination or PMO career path

What Success Looks Like

- Project schedules and documentation you support are accurate, current, and well-organized

- Stakeholder meetings run smoothly, with clear, timely minutes and follow-ups

- Senior team members trust you to flag resource or budget discrepancies promptly

- You're building a solid working knowledge of Appficiency's PMO methodology and governance standards

- You contribute useful ideas or support to process and template improvements over time
