About this role
Business Activity Owner (BAO) - Center of Excellence
Introduction
We are establishing a new Business Activity Owner (BAO) Center of Excellence (CoE) to standardize and professionalize the management of our third-party relationships. We are seeking a knowledgeable and highly organized individual to join this foundational team. The ideal candidate will thrive on working across multiple projects, enjoy collaborating with global stakeholders, and have a passion for learning and refining processes.
As a BAO, you will play a vital role in our third-party management (TPM) framework. You will be the single point of ownership, responsible and accountable for the end-to-end management of third-party relationships, ensuring that all risks are identified, managed, and monitored in compliance with regulatory and company requirements.
Key Responsibilities
As a Business Activity Owner, you will own all aspects of the third-party relationship. Your duties will span the entire vendor lifecycle:
Onboarding & Due Diligence
- Define Business Needs: Collaborate with internal teams to clearly define the business requirements and success criteria for engaging a third-party.
- Risk Assessment: Initiate and complete the Inherent Risk Questionnaire (IRQ) in the Aravo platform to determine the risk profile of the relationship.
- Engage Sourcing: Partner with the Sourcing team to conduct sourcing events and select the appropriate third-party.
- Coordinate Due Diligence: Manage the due diligence process by coordinating with various control assessment groups (e.g., Information Security, Continuity of Business, Anti-Bribery) to perform and evaluate Preliminary and Further Due Diligence controls.
- Contracting: Oversee the contracting process by securing necessary management approvals, finalizing the contract with Sourcing and Legal, and ensuring payment systems are set up correctly.
Ongoing Monitoring & Management
- Performance Management: Continuously monitor and report on third-party performance against Service Level Agreements (SLAs) and other key metrics.
- Risk & Control Assessments: Perform Ongoing Monitoring (OGM) control assessments, review scorecard results in OneTPM, and address any identified gaps or deficiencies.
- Relationship Management: Act as the primary point of contact for the third-party, facilitate discussions, and manage escalations related to non-performance or contractual issues.
- Process Improvement: Proactively identify trends, drive supplier optimization and efficiencies (e.g., cost reduction, operational improvements), and make recommendations to improve ways of working.
- Compliance: Stay current on industry regulations, laws, and news to ensure the third-party relationship remains compliant. This includes managing contract renewals and amendments, and updating risk assessments for any material changes.
Offboarding
- Termination: Manage the decision and execution of the termination process, including establishing the termination plan and ensuring a smooth execution of the off-boarding process.
Qualifications
Required Qualifications
- Experience: 2+ years of experience in a supplier/third-party management, vendor management, project management, or risk management role.
- 5-8 years of experience in business analysis or systems analysis
Project Management: Excellent project management, planning, and organizational skills with a demonstrated ability to manage and track multiple complex tasks simultaneously.
- Interpersonal Skills: Strong interpersonal, collaboration, influencing, and negotiation skills, with the ability to build robust relationships with a diverse set of stakeholders (including Procurement, Legal, Risk, and Technology).
- Communication: Excellent written and oral communication skills, with the ability to present complex and sensitive issues clearly to management.
- Problem Solving: A proactive and analytical mindset with the ability to handle ad-hoc requests, remediate issues, and drive resolutions.
- Adaptability: A desire to learn, tackle new challenges as they arise, and thrive in an evolving role where every day is different.
Preferred Qualifications
- Tooling: Experience working with Governance, Risk, and Compliance (GRC) platforms such as Aravo and OneTPM.
- Global Experience: Experience working with other countries and business areas in a global organization.
