About this role
Project Accounts Payable Specialist
Job Description We are seeking a hands-on Project Accounts Payable Specialist to support a post-implementation cleanup effort following a Sage Intacct go-live. The Accounts Payable department has absorbed much of the operational impact during the implementation, particularly due to the introduction of procurement processes, purchase orders, and approval workflows that were previously managed manually or through spreadsheets. This individual will play a critical role in helping the organization work through a significant AP backlog, resolve discrepancies, improve process discipline, and stabilize day-to-day operations within Sage Intacct. The ideal candidate is highly detail-oriented, thrives in fast-paced environments, and has experience cleaning up AP functions after system implementations, process changes, or ERP upgrades. Responsibilities
- Manage full-cycle Accounts Payable processing from invoice receipt through payment.
- Review and process high volumes of invoices while ensuring accuracy and compliance with company policies.
- Perform and troubleshoot 3-way matching of purchase orders, invoices, and receiving documentation.
- Research and resolve invoice discrepancies, PO mismatches, pricing variances, and approval issues.
- Assist with cleanup of AP transactions resulting from the Sage Intacct implementation.
- Work through aging invoice backlogs and vendor payment issues.
- Validate procurement and purchasing workflows established during the implementation.
- Reconcile vendor statements and investigate outstanding balances.
- Partner with Procurement, Operations, Project Managers, and Accounting teams to resolve open AP issues.
- Assist with month-end close activities including AP reconciliations and accrual support.
- Identify process improvement opportunities to enhance efficiency and strengthen internal controls.
- Ensure proper coding of invoices to general ledger accounts, cost centers, departments, and projects.
- Support audit requests and documentation as needed.
- Train and assist users navigating Sage Intacct AP and procurement workflows.
Essential Skills
- 3+ years of full-cycle Accounts Payable experience.
- Prior experience supporting an ERP implementation, system conversion, or post-go-live stabilization effort.
- Strong experience with Sage Intacct.
- Extensive experience performing 3-way match processing.
- Experience working with purchase orders, procurement workflows, and invoice approval processes.
- Proven ability to research and resolve large volumes of AP discrepancies.
- Strong Excel skills including VLOOKUPs, Pivot Tables, filtering, and reconciliation work.
- Ability to manage competing priorities and work independently in a fast-paced environment.
Work Environment The preferred candidate is someone in Maryland who can be onsite for the first two weeks daily, then transition to a hybrid arrangement if necessary. This individual will work closely with the team in a project environment where many processes are manual. Alternatively, candidates within a one to one and a half-hour commute can be onsite for two weeks before transitioning to a 100% remote role, provided they meet all the requirements and exceed expectations.
