About this role

Workforce Operations Analytics Specialist

Position Summary

The Workforce Operations Analytics Specialist is the day-to-day engine behind Hays Electrical Services' labor tracking program. Reporting directly to the Director of Field Workforce, this role collects, validates, and maintains job site and field labor data, supports field supervisors in reporting it accurately, and helps keep the company-wide labor dashboard reliable and current. The Specialist works in conjunction with the Field Workforce Coordinators to keep field data flowing accurately. This is a hands-on, detail-oriented role well suited to someone who is organized, proficient working with data, and at ease communicating with crews and supervisors in the field.

Key Responsibilities

Data Collection & Maintenance

- Collect, enter, and update job site and field labor data — including headcount, crew assignments, hours, and allocation by job — in the labor tracking platform.

- Review incoming data, including data gathered by the Field Workforce Coordinators, for accuracy and completeness; identify gaps, duplicates, and inconsistencies and resolve them with the responsible supervisor or project manager.

- Follow and reinforce established data entry standards so dashboard data stays reliable.

- Meet daily and weekly data update deadlines so the dashboard reflects what is actually happening on site.

Reporting & Analysis Support

- Prepare routine labor reports and dashboard views for the Director of Field Workforce and Executive Leadership.

- Support analysis of staffing trends, utilization by job and crew, and labor cost, flagging anomalies such as understaffed jobs or labor overruns to the Director of Field Workforce.

- Assist with ad hoc data pulls and reports for leadership meetings, audits, and workforce planning sessions.

- Help test dashboard updates and report user feedback to the Director of Field Workforce for continuous improvement.

Field Support & Communication

- Serve as the first point of contact for field supervisors with questions about labor reporting and the tracking platform.
- Provide guidance and quick-reference support to field staff on how to submit labor data correctly and on time.
- Make periodic job site visits to observe data collection in practice and identify process improvements.
- Escalate unresolved data or staffing issues to the Director of Field Workforce promptly.

Documentation & Coordination

- Maintain documentation of data entry procedures, report schedules, and common issue resolutions.
- Work in conjunction with the Field Workforce Coordinators to share job coverage, align on data collection practices, and avoid duplicate effort.
- Work with the Director of Field Workforce to support alignment of tracking data with broader workforce and training initiatives (e.g., the field training program).

Required Qualifications

- 1+ years of experience in workforce operations, HR operations, administrative support, data entry/reporting, or a related role — ideally in construction, field services, or a similarly distributed field workforce.
- Working proficiency in Excel (sorting, filtering, formulas, pivot tables) and comfort learning new software platforms.
- Strong attention to detail with a demonstrated focus on data accuracy.
- Clear written and verbal communication skills, including comfort working with field supervisors and crews.
- Well organized, able to manage recurring deadlines and multiple priorities.
- High school diploma or equivalent; associate's or bachelor's degree preferred.

Preferred Qualifications

- Background or experience using Workforce Platform, Rivet or other.
- Experience in the electrical, construction, or skilled trades industry.
- Familiarity with field labor tracking, time and attendance systems, or job costing tools.
- Exposure to dashboards or reporting tools such as Power BI or Tableau.
- Experience supporting workforce development, training, or apprenticeship-style programs.

Success Metrics (First 6–12 Months)

- Labor data is entered and validated consistently, meeting accuracy and turnaround expectations.
- Field supervisors report labor data on time and with fewer corrections needed.
- Routine reports are delivered accurately and on schedule to the Director of Field Workforce.
- Coordinator demonstrates growing ability to spot data issues early and contribute to analysis.

Physical Requirements

- Primarily an office/desk-based role, with regular visits to job sites to support data collection and field supervisors.
- Ability to travel locally between office and field locations as needed, and to safely navigate active job sites using required personal protective equipment.
