About this role

Associate Director, Committee Management

College Board — Advanced Placement & Instruction

Location: This is a hybrid role and requires the candidate to be on-site in the New York office (NYO) when committee meetings are onsite with some weeks requiring occasional evenings and weekends to support in-person committee meetings.

Role Type: This is a full-time position

About the Team

College Board's Advanced Placement and Instruction division (300+ staff) develops and administers coursework taken by more than 3 million students worldwide each school year, and the related subject-matter exams utilized by more than 4,000 colleges and universities for course placement and awarding of college credit. These include credit and placement examination programs like CLEP and ACCUplacer; Advanced Placement (AP®) and Pre-AP® courses in 40+ disciplines; and associated teacher professional learning programs.

The New Course Design Department is one of the AP Program's newest departments, established to lead the design, development, launch, and refinement of new AP courses designed to reach students not currently engaged with AP. The team manages a portfolio of 6–8 new courses in active development for Fall 2028 and Fall 2029 launches, working with cross-functional teams of curricular analysts, instructional designers, and assessment specialists. As part of designing and developing new courses, College Board engages committees of external subject matter experts including K-12 teachers, higher education faculty, and employers, who bring different perspectives to the work.

About the Opportunity

As Associate Director, Committee Management, you own the end-to-end operational experience of the Advisory and Development Committees that power new AP course and exam development. You manage the full committee lifecycle: recruitment support and onboarding, contracting, communications, meeting and travel planning, on-site execution, payments and honoraria, and offboarding.

You will establish the processes that the department will rely on as the new course portfolio grows by creating documented, repeatable, scalable operations. Reporting to the Senior Director, New Course Design Operations, you will work closely with course leads, project managers, and cross-functional partners including Procurement, Legal, Finance, and Program Enablement. This is a highly execution-focused role requiring strong judgment, exceptional attention to detail, and a genuine service orientation toward committee members and internal partners alike.

In this role, you will:

Advisory & Development Committee Lifecycle Management (35%)

- Own the end-to-end Advisory Committee lifecycle across the new course portfolio, including recruitment support, contracting, onboarding, communications, travel logistics coordination, meeting preparation and execution, and post-meeting follow-up

- Manage committee contracting from distribution through execution, coordinating with Procurement, Legal, and Talent to ensure contracts are accurate, compliant, and completed within required timelines

- Maintain accurate, up-to-date committee rosters and participation records, serving as the single source of truth for committee membership across all courses in development

- Serve as the front-line point of contact for committee member inquiries, responding within established service standards and ensuring a high-quality, consistent member experience across all touchpoints

- Coordinate onboarding and offboarding for committee members, including orientation materials, access provisioning, and recognition for departing members

Meeting Planning & On-Site Execution (30%)

- Own planning and logistics for in-person and virtual committee meetings, including scheduling, venue and hotel sourcing and contracting, catering, travel coordination, and pre-meeting communications

- Lead on-site execution of in-person committee meetings, primarily in the New York office, ensuring smooth delivery from arrival through close — room setup, AV coordination, materials, catering, and real-time issue resolution

- Coordinate with course leads and project managers to align meeting schedules and logistics with course and exam development timelines and milestones

- Anticipate and resolve scheduling conflicts and logistical issues proactively across committees operating on overlapping calendars

- Gather post-meeting feedback and apply lessons learned to future planning cycles

Payments & Financial Coordination (15%)

- Own intake, tracking, and processing of committee payments, honoraria, and expense reimbursements, ensuring accuracy, completeness, and timely submission

- Partner closely with Finance, Procurement, and external vendors to resolve payment and contracting issues and ensure smooth coordination across systems

- Track committee-related spending against budget and flag risks, discrepancies, or areas requiring leadership attention

- Support strong fiscal stewardship through organized documentation and consistent adherence to organizational policies and procedures

Process Design, Documentation & Knowledge Management (20%)

- Establish, document, and continuously refine clear, scalable processes, templates, timelines, and service standards for all core committee workflows — building the operational foundation for a growing department

- Build and maintain trackers, dashboards, and schedules (e.g., in Smartsheet) that give leadership real-time visibility into committee operations

- Organize and maintain the team's shared documentation and knowledge resources so guidance is current, accessible, and consistently used

- Identify inefficiencies, redundancies, and gaps in workflows and implement improvements, including piloting approved AI-enabled tools to increase efficiency

About You

- Expertise in operations, event and meeting management, or committee/program coordination, with 5–8 years of experience managing complex, high-volume, deadline-driven work with multiple stakeholders

- Experience establishing new processes, systems, and documentation — you are energized by building rather than inheriting, and comfortable navigating ambiguity in a young, growing team

- Experience managing contracting, payments, or other financial coordination workflows with strong fiscal responsibility and accuracy

- Experience planning and executing in-person meetings or events, including venue and hotel contracting, vendor coordination, catering, and on-site troubleshooting

- Exceptional organizational skills and attention to detail, with disciplined follow-through and the ability to manage multiple workstreams simultaneously without losing quality or pace

- Excellent customer service orientation, with diplomacy, discretion, and grace in interacting with external committee members, senior leaders, and colleagues at all levels

- Strong judgment in decision-making, including knowing when to independently resolve issues and when to escalate

- Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, SharePoint); Smartsheet experience preferred

- Bachelor's degree required

- Ability to support in-person committee meetings in the New York office, with some evening and weekend availability required (approximately 8–12 weekend meeting days per year)

- The ability to travel up to 6-8 times a year as required.

- This role may require extended periods of standing during on-site meetings and occasional lifting of materials and supplies up to 25 lbs.

All roles at College Board require:

- A passion for expanding educational and career opportunities and mission-driven work

- Curiosity and enthusiasm for emerging technologies, with a willingness to experiment with and adopt new AI-driven solutions and comfort with learning and applying new digital tools independently and proactively

- Clear and concise communication skills, written and verbal

- A learner's mindset and a commitment to growth: welcoming diverse perspectives, giving and receiving timely, respectful feedback, and continuously improving through iterative learning and user input

- A drive for impact and excellence: solving complex problems, making data-informed decisions, prioritizing what matters most, and continuously improving through learning, user input, and external benchmarking

- A collaborative and empathetic approach: working across differences, fostering trust, and contributing to a culture of shared success
- Authorization to work in the United States
